UW Bothell has an outstanding opportunity for an Academic Services-Assistant Director, ARC Facilities and Events .As part of the Division of Enrollment Management and Student Affairs and reporting to the Director of the Activities & Recreation Center (ARC), the Assistant Director of the Activities & Recreation Center provides direct oversight and administration of the day-to-day facility operations of the Activities & Recreation Center related to risk management, custodial and facilities services, supervision of student staff, and enforcement of facility operating guidelines & procedures. In addition, the Assistant Director will oversee facility and event reservations and support event productions and programs.
The position provides leadership to Activities & Recreation Center student staff who oversee campus programs and initiatives; which create educational and social opportunities for student involvement and leadership development. This position develops partnerships with academic departments, faculty, and other constituents including UW Seattle and Cascadia College. The Assistant Director supports and consults with staff, faculty, and students independently when issues arise. In the absence of the Director, assumes leadership and decision-making authority.
Facility and Risk Management (60%):

  • Manage the day-to-day operations of the Activities & Recreation Center, inclusive of information desk functions, space reservations/scheduling and management of event program.
  • Develop, update and implement policies and procedures for ARC events; leading event space upgrades and technology improvements.
  • Implement, evaluate, and refine facility operations, aligning work with professional best practices and evolving student needs for University of Washington Bothell and Cascadia College campuses.
  • Review, revise, and enforce policies and procedures, including incident response protocols, to ensure all are aligned with institutional priorities and kept in compliance with the industry best practices for risk management.
  • Works with Facilities Services & Campus Operations and non-university contractors/vendors to ensure proper maintenance within the facility; coordinates planning and scheduling of the annual maintenance shutdown
  • Manage all aspects of the building and building equipment, including furniture and check out supplies as it relates to preventative maintenance, inventory, ordering and usage.
  • Manage and maintain all facility reservation requests including periodic review and updating of reservation system, procedures, rules, processes, logistics, and fee schedules
  • Assist program areas with logistics to best facilitate programming and activities through event set-up and staff support.
  • Oversee and provide guidance in the preparation of contracts and other related documents as necessary as they relate to the department.
  • Work with Director to develop long and short-term strategic goals, which are in alignment and support of the Activities & Recreation Center's strategic direction, as informed by the Student Facilities Advisory Committee.
  • Work with Director of the Activities & Recreation Center on development and assessment of policies and procedures; keep Director apprised of emerging or ongoing issues in areas of responsibility.
    Supervision (30%)
  • Recruits, hires, trains, schedules, supervises and evaluate student staff (15-20); develops and maintains strong customer service skills of student staff, applying advising techniques and knowledge of the student development process in identifying support resources and services appropriate to student needs
  • Direct the work and supervise Technology & Event Specialist
  • Create and encourage professional development opportunities for staff.
  • Work with Director to develop, assess, and revise learning outcomes for part-time staff, student staff, and the department.
  • Staff major events and programs, including campus events; for example, Convocation, Graduation, etc.
    Administrative (10%)
  • Budget tracking and monitoring inclusive of reconciliation. Responsible for payroll hiring functions at both Cascadia College and UW Bothell
  • Assess effectiveness and satisfaction of programs, services, and facilities with an annual report to the Director of the Activities & Recreation Center.
  • Develop collaborative relationships with staff, faculty, and departments to provide additional learning opportunities for students throughout Cascadia College and UW Bothell.
  • Serve on Division of Enrollment Management & Student Affairs and other campus related committees; work cooperatively with colleagues on campus and at other institutions.
  • Performs other duties as assigned
    Minimum Requirements:
  • Bachelor's degree in Student Development, Education, Administration and Supervision, Student Personnel Services, Counseling, or related field.
  • At least 3 years of experience in the field of Student Center Management, Facility Operations, Student Affairs or similar higher education fields.

  • Demonstrated experience working with a diverse community and commitment to diversity, equity and social justice.
  • Demonstrated excellence in leadership and managerial skills and the capacity to supervise and lead student and professional staff.
  • Ability to work as part of a professional team that collaborates effectively with colleagues
  • Demonstrated budget management skills.
  • Demonstrated ability to develop, collaborate and steward partnerships with other services and departments.
  • Ability to communicate clearly and effectively both orally and in writing.
  • Computer literacy and proficiency in Microsoft Office Suite.
    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
    Desired Qualifications:
  • Experience supervising staff and student employees.
  • Demonstrated experience with risk management and University policies.
  • Demonstrated knowledge of student development theory, adult learning and or/organizational psychology.
  • Familiarity with software platforms used in student facilities.
    Conditions of Employment:
  • A work schedule that fluctuates due to afterhours activities, meetings, AND EVENTS is common.
  • The Assistant Director is expected to attend major student activities AND EVENTS held on campus and in the local community.
  • The Assistant Director has regular and frequent contact with students. As well as, frequent contact with faculty, staff, and administrators.
  • Late night and weekend hours are part of the normal work week and frequent work from home is possible due to on-call or crisis response.
  • The position requires some evening and weekend commitments throughout the year.
  • Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check
