Visconsi Companies, Ltd. is one of the most respected names in the shopping center industry with properties and new projects nationwide. We are seeking a polished and mature Executive Personal Assistant to support one of our Co-CEO’s for both business and personal activities .
This valued team member’sresponsibilities will include:
- Managing the Co-CEO’s daily calendar - this includes scheduling and prioritizing meetings, appointments, and other obligations, anticipating and preparing needed materials and ensuring effective follow-up
- Managing the flow of documents and required approvals
- Preparing correspondence which are often of a confidential nature
- Screening telephone calls, personally responding to routine requests for information and directing other calls to appropriate individuals
- Communicating and interacting with the internal team and external parties in a professional and courteous manner
- Arranging domestic and international travel plans, accommodations, and itineraries for both business and private needs
- Tracking and processing business expenses
- Supporting outside Board and association roles
- Supporting the Co-CEO’s other business interests
- Coordinating and keeping very detailed track of the Co-CEO’s personal responsibilities – insurance, healthcare, bill payment, banking, taxes, investments, vehicles, house maintenance and other items that may arise
- Managing social engagements, making reservations, placing orders, and coordinating family-related engagements
- Performing all responsibilities in total accord with the company’s Core Values
The qualifications we seek are:
- Minimum of 10 years of professional administrative experience working for top-level executives supporting both business and lifestyle requirements
- Strong organizational skills, detail-oriented, and the ability to handle multiple tasks
- Exceptional computer skills and software application proficiency, especially MS Office Suite (Excel in particular)
- Familiarity with QuickBooks or other accounting software is a plus
- Experience with document management systems such as DocuSign
- Strong proofreading and editing skills with exceptional attention to detail
- Ability to communicate clearly, including both written and oral communication skills, and an excellent command of the English language
- Exceptional interpersonal skills
- Professional demeanor and a high level of discretion and confidentiality
- Demonstrated judgment, tact, and diplomacy in dealing with internal and external customers
- Professional who prides her/himself on a flawless work ethic
- A degree is not mandatory but is a valued credential
This position is located at our corporate headquarters in Pepper Pike, OH.
