TMH, LLC has partnered with a successful boutique wealth management firm in Bethesda, MD, to place a high-level, professional, sophisticated, proactive, solutions oriented, & exceptionally organized individual in the role of Executive/Personal Assistant (EPA) to the CEO (90% EA / 10% PA). The CEO is very busy with a lot of demands on his time, is looking for a true gatekeeper/right hand, & a strategic partner that he can trust, bound ideas off of, & one he welcomes ideas from.

The EPA will provide administrative, logistical & project management support to help move the CEO’s goals & initiatives for the company forward, as well as support him with various external ventures & interests. The EPA will be entrusted with the most sensitive & confidential information, and will display the highest level of trust & discretion. This role offers the opportunity to make a significant impact to the success of the CEO, as well as play a critical role behind the scenes in the growth of the firm, as the CEO wants the EPA to be involved in everything he touches. This is a great, long-term opportunity with potential for growth for the right fit!

The ideal candidate has a positive attitude, dedicated work ethic, years of experience supporting busy executives, is confident, resourceful, engaging, forward-thinking, & highly collaborative. An interest to learn the inner workings of the firm, high level of integrity, effective communication, and ability to seamlessly multi-task & identify priorities, as well as work well independently & as a team, is essential in this role.

Hours: 9am-5pm (M-F) - 8:30am start time when morning meetings are scheduled. While there's no expectation of after hours/weekend work, flexibility is needed to receive communications, responding to urgent needs immediately, & prioritizing others accordingly (next business day, etc.). There could be some domestic travel, but very minimal if so. Hybrid aspect: The EPA can select one day/week to consistently work remotely from home (Mondays not included) after they’ve gone through a couple weeks of onboarding & the CEO feels comfortable having them do so.

Location: Bethesda, MD - The office is located in downtown Bethesda, in a beautiful class A office building that includes a state-of-the-art fitness center, & is one block from the shops & restaurants of Woodmont Ave. & Bethesda Row.

About the CEO:

His clients rely on him for advice and strategies to build & protect their legacy, and benefit from his extensive knowledge of economics, financial markets, tax policy, and public policy gained during a career that has spanned both Wall Street & Main Street. As a passionate outdoorsman, he is the lead explorer on family hikes & camping adventures locally & around the world.

Key Responsibilities Include (but not limited to):

  • Provide a bridge for smooth communication between the CEO, his direct reports & outside parties, acting as a “gatekeeper” by providing a “gateway” role for those who need to speak/meet with him.
  • Proactively maintain the CEO’s business & personal calendars, ensuring seamless coordination. This includes organizing meetings, sending reminders, and ensuring all documents are prepared in advance. Must be able to prioritize the most time sensitive matters as scheduling conflicts arise. Ensure all important dates (birthdays, anniversaries etc.) are on the CEO’s calendar, reminding him as they approach.
  • Coordinate travel arrangements & logistics for CEO (occasionally for family members & business partners), create detailed travel itineraries, & submit related expense reports. Prepare CEO for all travel as needed (ensure he has tickets, photo ID, passport, itineraries, etc.).
  • Monitor the CEO’s email inbox, tending to urgent matters & removing unnecessary emails.
  • Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
  • Organize internal/external meetings, including scheduling, sending reminders, and assisting with firm events when necessary. Prepare meeting materials for All Hands meeting & weekly staff meeting agenda.
  • Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
  • Partner closely with the CEO’s Client Team (one financial advisor & one client service assoc.) to provide support to the CEO’s personal book of business, organizing client contact information, coordinating client gifts, and scheduling client portfolio reviews.
  • Act as a "barometer," having a sense for the issues taking place in the office & keeping the CEO updated.
  • Answer the phone, take accurate messages, keep track of CEO’s whereabouts, and handle urgent calls with appropriate judgment.
  • Manage, compose and prepare confidential correspondence, reports, and other complex documents, proofing & editing of all documents to ensure accuracy & consistency.
  • Assist with recruiting efforts by scheduling Due Diligence meetings with prospective team members, updating & maintaining data for recruiting pipeline & tracked items, and providing document support, editing & managing communications around advisor contracts & staff letters.
  • Maintain address & contacts lists, and be proactive in recognizing when to send thank you notes, gifts, etc. to personal, professional, & philanthropic contacts.
  • Further refine systems & processes to maximize efficiency.
  • Liaise with personal & business associates, philanthropic contacts & clients.
  • Assist with special projects as needed.

Experience/Education:

  • 5+ years EA experience working in a high-paced environment, with 2+ years of experience directly supporting C-Suite & high-level executives
  • Bachelor’s Degree highly desired
  • Proficiency in Microsoft Outlook & MS Office; tech savvy

Compensation/Benefits:

  • Base Salary: $120-140k *DOE* + 10% annual bonus
