Executive Personal Assistant
Job Description
We are seeking an Executive Assistant to manage the daily job related and personal activities of the 2 owners of a family business/family office. Their primary residence is in the Novi/Northville, MI area with a property in Northern Michigan and another in Royal Oak, MI. The Family Office is located in the Novi/Northville area as well.

Coordination

Responsibilities:
Coordination
- Manage calendars and coordinate business and personal meetings and activities.
- Daily Time Management
- Coordinate meetings and follow-up with team members.
- Coordinate activities and events for business and personal.
- Conferences and team events.
- Travel.
- Social and family activities.
- Charitable/community activities.
- Conduct a weekly meeting with owners to review issues, priorities, actions, etc.
Administrative Tasks - Business
- Assisting executives with administrative, banking and other tasks as required
Property Management - Residential
- Manage the day-to-day operations of of the facilities.
- Create a list of trusted contractors and service providers, by geography as well as a running review of their service capabilities.
- Seek to expand trusted contractor list and relationships.
- Hire and fire contractors as required.
- Bid larger projects to ensure proper pricing and completion parameters.
- Set and manage maintenance schedules using family calendar.
- Create a list of trusted contractors and service providers, by geography as well as a running review of their service capabilities.
- Work with insurance providers.
- Work with accountants to reconcile and pay bills for the household and maintain financial and tax records.
- Make sure that the interior of the house is clean and well-maintained at all times.
- Keep track of groceries and household supplies and replenish when necessary.
- Maintain an inventory of all furnishings and equipment in the house, including ordering replacements when needed.
- Maintain a master list of art and jewelry within the households and work with art appraiser to keep up to date.
- Coordinate automotive, boat, lift, golf cart, etc. repairs and maintain service logs.
- Assist adult children with coordinating activities and tasks.
- Rotate Seasonal decor.
- Assist with purchases, e.g. clothing, household supplies, special items, etc.
- Work with decorators to execute changes in decor.
- Help keep the spaces within the house organized, e.g. closets, basement, garage.
Requirements and skills
- Proven work experience and training as an Executive Assistant or similar role.
- Being an exceptional communicator while understanding the client’s likes and dislikes.
- Excellent time management skills with the ability to manage all service providers, projects, properties and activities while effectively communicating with very busy owners.
- Very good understanding of accounting basic principles, budgets and household finance.
- Being knowledgeable on a wide range of areas related to the role. Being responsible, efficient, discreet, and extremely organized. Enthusiastic, passion for meeting goals, good social skills and likes to have fun. Analytical and problem solving skills.
- Good understanding of collaboration tools such as Google suite
Pay will be based on existing experience.
