Accounting Barn is a modern accounting boutique specializing in Controller and CFO services for the small business community. We are actively seeking our next strategic hire - an experienced Executive & Personal Assistant tothe Founder/CEO. You will be a key team member taking over administrative tasks to ensure smooth day-to-day operations and create bandwidth for the Founder/CEO. This is a role for someone who loves being an Assistant and has a true passion for supporting others in their professional and personal lives. This is a hybrid position located in central Columbus, OH.

ROLE RESPONSIBILITIES
General
- Filter, organize, prioritize and execute the ongoing list of professional and personal administrative tasks.
Communication Management
- Manage the Founder/CEO’s e-mail inbox and folders as well as Slack channels.
- Escalate important communications to Founder/CEO.
- Correspond with internal/external parties by crafting high quality emails and Slack messages.
Calendar Management
- Skillfully manage the Founder/CEO’s calendar to ensure adequate time allowed.
- Schedule meetings for Founder/CEO and leadership team using Zoom.
Meeting Coordination
- Conduct daily briefing with Founder/CEO of daily schedule as well as evolving future schedule.
- Ensure meeting participants are prepared by distributing necessary documents.
- Develop and maintain leadership team meeting pre-work/agendas, reports/presentations, meeting notes and action items/due dates.
Document Management
- Organize documents in SharePoint files.
- Maintain files and password records in Keeper.
Expense Management
- Assist Bookkeeper with receipt management and coding for credit/debit card purchases in Expensify.
Travel Management
- Research and book travel arrangements, including flights, accommodations and transportation.
- Prepare itineraries for all professional and personal trips.
Special Project Support
- Assist with ad-hoc requests and special projects.
- Conduct research and present findings.
Business Development Support
- Manage the Founder/CEO contacts by entering pertinent information into CRM.
- Assist with new client/project onboarding.
- Assist with prospect/client gifting strategy.
Employee Support
- Assist with new employee onboarding.
Personal Support
- Support the Founder/CEO with personal tasks related to home, animals and vehicles.
- Communicate directly with other support personnel and vendors.
- Manage retail purchases, deliveries and returns and weekly meal orders.
- Run weekly errands, including Kroger and Target.
- Schedule weekly/monthly personal appointments.
- Schedule weekly animal appointments.
- Schedule monthly vehicle maintenance.
- Maintain Expensify and QuickBooks Online (QBO) for personal budget.
DESIRED QUALIFICATIONS
- Education: Degree in business administration or a related field is preferred.
- Experience: Prior experience supporting a C-suite executive, preferably at an entrepreneurial company.
- Team and Individual Player: Collaborative with others, but also able to work independently.
- Organizational Skills: Ability to handle high volume of incoming tasks simultaneously, prioritize tasks effectively and execute tasks efficiently.
- Time Management Expertise: Master calendar manager.
- Communication Etiquette: Clear written and verbal communication skills.
- Tech Savvy: Proficiency in Microsoft Office 365, Slack and Zoom. Willingness to learn other apps.
- Adaptability: Capable of working in a fast-paced, growth-oriented environment.
- Confidentiality: Trustworthy and maintains a high level of discretion and confidentiality in handling all matters related to the Founder/CEO and the company.
- Critical Thinking: Anticipates needs and is proactive/takes initiative. Able to problem solve with possible solutions.
- Professionalism: Maintain a professional presence at all times.
- Availability: Dependable and dedicated. Flexibility to work outside regular business hours if needed.
