Description
OVERALL PURPOSE
The purpose of the Administrative Assistant position is to assist with the day-to-day functions of and to provide a high level of support to the Rental Management Department.
ESSENTIAL FUNCTIONS
- Process rental applications.
- Manages virtual inspections and violations.
- Answer incoming showing inquires and schedule for leasing agent.
- Responds to all rental inquiries within 24 hours both by phone and email.
- Manages and enters invoices and utility billings.
- Create and prepare new tenant folders.
- Complete and maintain new tenant move-in documents.
- Assists with reviewing tenant ledgers and owner ledgers.
- Assists in scheduling inspections.
- Assists in maintenance request process.
- Processes mailings.
- Processes and distributes incoming mail.
- Files and scans documents as required/requested.
- Assists with the tracking and management of insurance policies.
- Assists with vendor management.
- Assists with or manages special tasks or projects as requested.
- Cross trains and covers the in-office responsibilities of team members when they are out of the office.
- All other duties as assigned.
Requirements
MIMNIMUM QUALIFICATIONS AND SKILLS
- Familiarity with the Landlord-Tenant Act and the Fair Housing Act is a plus.
- Familiarity with construction or home repairs is a plus.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook).
- Ability to build and foster relationships.
- Positive attitude.
- Reliable Transportation and a valid Driver's License.
- Strong written and verbal communication skills.
- Ability to work as part of a team while also being a self-starter.
- Ability to work in a fast-paced environment.
- Ability to take direction and constructive criticism.
- Excellent data entry skills.
- Ability to learn and adapt to new processes, procedures, and software.?

PHYSICAL EFFORT REQUIRED
- Required to work at a personal computer and be on the phone for extended periods.

Salary Description
$19.00 - $20.00/hour
