Responsibilities for Administrative Assistant

  • Ability to interact and maintain a level of professionalism with our customers
  • Answer and direct phone calls to the appropriate department
  • Organize and schedule and book appointments within our web-based software
  • Plan meetings and take detailed minutes, to review within the specific division
  • Script and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly weekly, monthly, quarterly, and annual reports
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Submit and reconcile business expense accounts and reports
  • Act as the point of contact for our internal and external clients
  • Book travel arrangements, including maintaining budget of the specific event
  • Liaise with operations managers and others Administrative Assistants to handle requests and queries from senior managers

Qualifications for Administrative Assistant

  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Word, Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School Degree; additional qualification as an Administrative assistant or Secretary will be a plus
  • College Degree; with limited experience in this role, but a willingness to learn will be considered as well
  • Valid driver's license in state of residence

Job Type: Full-time

Salary: $18.00 - $23.00 per hour depending on experience
