The Office Receptionist supports the business by providing timely and professional service to our guests, while keeping the business office running smoothly.
Essential Functions:
- Greet visitors appropriately and determine their needs in a professional manner. Direct them to the appropriate person if that is not you.
- Answer and address incoming phone calls in a timely and polite manner. Forward incoming calls to the appropriate person; take and deliver messages accurately and completely. Handle inquires and provide accurate information.
- Prepare welcome packets for arrivals and process them after arrival. File departed guests' paperwork accurately.
- Keep reception area clean and neat. Maintain and organize reading material.
- Ability to be "on-call" on a rotation basis. This includes taking reservations, handling guest concerns, entering work orders, and entering new reservations if necessary.
Supervisory Responsibilities:
- This position does not have any supervisory responsibilities.
- May provide cross-training to staff.
Competencies:
- Proficiency in Microsoft Word and Excel.
- Written and verbal skills
- Friendly and outgoing personality
Education & Experienc:
- High School Diploma/GED
- College degree preferred but not required
Work Environment:
Usual office working conditions. This position will have a desk space with a computer and a phone. The noise level in the work environment is typical of most office environments with telephones, personal interruptions, and background noises.
Physical Demands:
While performing the duties of this job, the employee is regularly required to sit, talk, and hear. The employee is frequently required to use their hands. The employee must have the ability to use a computer keyboard and mouse and the ability to dial, answer, and talk on a telephone. The employee is occasionally required to walk and reach with hands and arms. Specific vision abilities required by this job include close vision. This job requires the ability to occasionally work in stressful conditions and remain focused for extended periods of time. Ability to lift up to 30 pounds; boxes, documents and/or other items.
Position type: Full-time
Expected work hours: Monday - Friday, 8:00am-5:00pm. May include holidays and/or alternate days or hours as needed.
Travel: This position could require minimal travel, less than 5% of the time.
Work Authorization: This employee must be legally authorized to work in the United States.
