Position:Payroll Specialist
Department: Business Office
Reports to: Controller
FLSA Status: Non-Exempt (Hourly) – Administrative Support Personnel
Schedule: Full Time, 12 Months
Hourly Rate: starting at $23.77/hour commensurate with experience

SUMMARY: Coordinates and processes all information required for the bi-weekly processing of the District’s payroll and all associated financial systems. Completes payroll, retirement and other reports on a bi-weekly, monthly, quarterly, semi-annual and annual basis.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: (Other appropriate duties may be assigned.)
- Coordinate, process and maintain employee payroll database including, but not limited to, entering new employees, process payroll rate changes, process payroll deduction changes, maintain salary data information, process payroll reconciliation and process PSERS upload information. Process updates and contributions to the district 403b and 457b plans.
- Review and process all hourly timesheet and salaried attendance data for bi-weekly payrolls. Process hours recorded on the electronic timekeeping system.
- Process all tax and other agency payments deducted via payroll.
- Prepare reports regarding payroll and benefit information as requested included, but not limited to, budget reports, negotiations information, wage changes, state and federal reporting and PSERS retirement reporting.
- Research and respond to inquiries by employees and various agencies including, but not limited to, State Unemployment, PSERS, taxing agencies, domestic relations and student liens.
- Calculate PSERS buy-back information for employees.
- Creation and processing of all quarterly and annual tax returns.
- Creation and distribution of all W-2 forms.
- Communicate with the Human Resource Office and Benefits Specialist to ensure that all departments are coordinated.
- Maintain employee payroll files including, but not limited to, timesheets, tax forms, PSERS data and other applicable information.
- Produce monthly reports for Human Resources for use in monitoring part time employee hours to support compliance with the Affordable Care Act.
- Supports other Business Office functions as needed.

- High School Diploma or Equivalent with post-secondary education in business or related field.
- Three to five plus years of experience, preferably in a school district setting.
- Experience in working with the public.
- Strong knowledge of computer software programs including word and spreadsheet programs.
- Strong oral and written communication skills.
- Strong organizational skills.
- Ability to maintain confidentiality.
- Ability to read, analyze, and interpret general business periodicals, technical procedures or government regulations.
- Congenial interpersonal skills when interacting with stakeholders.
- Ability to lift and/or move boxes weighing 20-25 pounds.
- Ability to interact positively with others and work as a team.
- Ability to take initiative and multitask.
- Must successfully complete and maintain compliance with all federal and state background and criminal record check requirements.
