Home Smart Industries is seeking a highly skilled and experienced Payroll & Benefits Specialist, who will play a crucial role in ensuring accurate and timely processing of multi-state payroll and managing employee benefits. This position requires meticulous attention to detail, strong organizational skills and knowledge of payroll procedures and regulations. You will be responsible for maintaining payroll records, calculating wages, preparing reports, and administering employee benefits programs. Additionally, you will serve as a point of contact for employees regarding payroll and benefits inquiries.

What You'll Do / Payroll responsibilities:
- Ensure bi-weekly multi-state payroll is processed accurately and timely through ADP Workforce Now for exempt and non-exempt employees, including commission employees
- Calculate wages, deductions, and adjustments such as bonuses, overtime, and commissions
- Review timecards and enter data into payroll databases, calculate paycheck amounts, and distribute funds to employee accounts
- Review overtime hours and PTO (Paid Time Off) requests, and communicate any issues to local management team
- Review commission reports and import accurately into ADP Payroll Batch; verify job # is tied to commission amount
- Provide payroll preview to Executive Team for approval
- Review and verify payroll reports for accuracy before finalizing and processing payments
- Communicate to local management team of any “live payroll checks” to be processed/delivered
- Review weekly 401k file feed for accuracy; process bi-weekly 401k payroll contributions to external 401K portal
- Calculate and maintain control totals to ensure accuracy
- Process month-end tasks related to payroll
- Prepare and file bi-weekly, quarterly, and annual, tax and labor reports, including state-specific compliance reports
- forward bi-weekly payroll reports to homebase as well as upload to Accounting Share File System
- Reconcile withheld taxes and gross earnings for quarterly tax reporting and W2 processing for the division
- Audit and process ACA and 1095c forms
- Work with ADP vendor in any multi-state SUI/SIT setup
- Identify local jurisdiction tax codes and apply accordingly to employee profiles
- Follow up and process tax IDs, garnishments, support orders, liens, and any payroll related mail
- Ensure compliance with federal, state, and local payroll tax regulations and laws
- Along with HR team, create and introduce new payroll policies and procedures to employees and managers when and if necessary
- All other payroll and/or administrative tasks as required
What You'll Do / Benefit Responsibilities:
Administer employee benefits programs, including health insurance, retirement plans, and other benefits
Ensure new hire benefits are actioned timely; approve Insurance elections for payroll deductions to be processed timely
Track HDHP elections to add a memo code in the payroll batch
Audit and reconcile monthly insurance billing
Assist employes with benefit enrollment, changes, and inquiries
Assist employees with Self-Service and Time and Attendance access
Create and/or maintain time off policies as needed
Process new hire onboarding, documents and I9 records to maintain accuracy
Process termination paperwork
What You'll Bring:
- Associate degree (or equivalent) in accounting, finance, HR or related field is preferred
- 2-3 years’ hands on experience in ADP Workforce Now required
- 2-3 years' experience with full cycle payroll processing for mid-size organization
- Experience with Multi-State set up and compliance
- Experience with ADP Smart Compliance a plus
- Familiarity with benefits administration and regulations
- Understanding of Wage & Hour laws at Federal and State levels
- Proficient in Microsoft Excel and other Microsoft programs
- Excellent mathematical and calculation skills
- Excellent organizational skills and attention to detail is necessary
- Ability to lead and also take direction
- Ability to balance many different projects and tasks at once
- Ability to read and decipher payroll reporting from ADP WFN (ADP WorkForce Now)
- Effective corporate communication skills
- Excellent interpersonal skills and ability to work with a team
- Ability to multitask and prioritize to consistently meet deadlines
- Ability to handle sensitive information with confidentiality and integrity
- Certification in payroll and HR is a plus.
