This position reflects the hybrid nature of the office post-pandemic and the shift away from in-person activities. This role is intended to cover the basic administrative, clerical, and housekeeping functions of the office on a day-to-day basis and may change based on the qualifications of the candidate and needs of the office.
Essential Duties & Responsibilities:
- Receive, date stamp, log, notify, and route incoming legal documents/other deliveries.
- Pick up, sort, and scan and email incoming mail to staff, paralegals, and/or attorneys each day.
- Process mail to go out each day for the firm and ensure that all mail, including any packages, is taken down and deposited in the correct receptacle on a daily basis.
- Administer the “RM Fax” email inbox. Forward received faxes to firm employees through Microsoft Outlook, maintaining a record of all forwarded faxes.
- Request office and kitchen supplies, match received items with invoices, and review for payment. Forward invoices to Firm Administrator for payment.
- Oversee copier, printers & postage machine in coordination with Central Services Coordinator. Make service calls as necessary. Assist on large in-house copier projects.
- Keep copier stocked with paper, keep copy/supply rooms tidied up, and note when supplies are running low.
- Tidy kitchen, load and unload dishwasher, and maintain kitchen supplies.
- Assist legal staff with sending out matter related correspondence/documents/settlements as needed.
- Assist with data entry of invoices for payment.
- Assist Firm Administrator with administrative tasks as needed (e.g., managing resumes, setting up interviews, etc.)
- Other duties as assigned and as time permits.
Knowledge, Skills & Abilities Required:
- Team player with a professional, friendly demeanor who is comfortable dealing with clients, vendors, attorneys, and staff.
- Can do attitude with the ability to think outside the box and anticipate needs.
- Interpersonal skills necessary to communicate and effectively follow instructions given by a diverse group of attorneys and staff.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Work occasionally requires a high level of mental effort and strain when performing a high volume of clerical tasks and performing other essential duties.
- Ability to assemble files and to file information utilizing alpha-numeric filing guidelines.
- Approximately six months on the job experience preferred but not required.
- Familiarity with Microsoft Office Suite is required. Familiarity with databases also a plus.

This position is anticipated to be 30 hours per week and requires in office attendance Monday through Friday from 10:00 am to 4:30 pm.
