The Work You Will Do:
The OPS Administrative Assistant serves as administrative and clerical support in the Division of Economic Development and will work collaboratively with staff to assist in office management. This position will report to the Executive Assistant for the Deputy Secretary of the Division and serves as the primary administrator for overseeing inventory of supplies, transporting files within the department, creating, and tracking correspondence, answering phone lines, and office organization.

Your Specific Responsibilities:
The OPS Administrative Assistant serves as the administrative and clerical support to supervisors and staff within the Division of Economic Development and will work collaboratively with staff to assist with program and contract management. This position will report to the Executive Assistant for the Deputy Secretary of the Division.
- Duties and responsibilities include:
- Create and manage both hard copy and electronic files.
- Manage and update project spreadsheets.
- Handle correspondence and filing.
- Independently completes special assignments, research, and reports as requested by the Executive Assistant and other staff.
- Assist with information and public records requests as necessary.
- Meeting with project team members to identify and resolve issues.
- Preparing status reports by gathering, analyzing, and summarizing relevant information.
- Performs other related duties as assigned by the supervisor.
Required Knowledge, Skills, and Abilities:
- Ability to organize and prioritize work assignments.
- Ability to work independently and as a team member.
- Ability to coordinate and direct office services.
- Ability to exercise sound judgement while representing the Department’s best interest.
- Ability to meet deadlines without sacrificing accuracy, customer service, or ethics.
- Effectively handle multiple tasks while completing assignments timely.
- Ability to compile data from a variety of sources and present in a logical manner.
- Ability to assign, prepare, track, review assignments.
- Ability to create and organize hard copy and electronic files.
- Skill and proficiency using Microsoft Suite
Qualifications:
As a condition of pre-employment eligibility, a Level 2 security background screening is required, which consists of fingerprinting and a check of local, state, and national law enforcement records.
