JOB OVERVIEW
You will be responsible for the professional and efficient managing of visitors and phones as well as a variety of clerical duties that support our firm and its daily business. This position works to ensure a smooth business environment. It supports the Administrative Team who oversees the firm’s finance, marketing, technology, sales, and individual departments.
The candidate should be a self-starter, well-organized with attention to detail, able to prioritize and manage multiple responsibilities, meeting deadlines and working independently.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Welcoming guests by greeting and directing them appropriately while maintaining security procedures.
- Answering phone calls in a prompt, accurate, professional, and courteous way.
- Training to become an expert on all technical equipment used by the firm. Assisting in setting up equipment and assisting employees or vendors.
- Maintaining a clean, organized and clutter free reception and conference room area.
- Assisting in managing calendar(s) for all conference rooms as well as scheduling meetings and events.
- Managing the calendar for the firm CEO
- Receiving, identifying and sorting mail and packages.
- Ensuring the kitchen and restrooms are tidy and stocked for use.
- Ordering all office supplies for the firm.
- Monthly filing of carrier statements and accounts payable.
- Managing any basic building issues with our building’s management service.
- Scheduling all firm travel within provided guidelines.
- Helping plan, prepare and complete event planning activities for client and employee events.
- Managing and completing multiple requests from the Administrative team in an efficient and timely manner.
- Performing other clerical tasks as required.
KNOWLEDGE AND EDUCATION
- Minimum 2 years’ administrative experience in an office setting
TECHNICAL SKILLS AND ABILITIES
- Proficient in Microsoft Office Suite
NON-TECHNICAL SKILLS AND ABILITIES
- Strong organizational skills
- The ability to work independently and with deadlines
- Self-motivated
- Strong written and oral communication
