Work Arrangement
This role is categorized as hybrid. This means the successful candidate is expected to report to the Global Technical Center in Warren, Michigan three times per week, at minimum.
The Role
This position will provide administrative support for the Legal Team in navigating through shifting priorities,enabling the Senior Legal staff members to meet the organization's goals. The goal of the GM Legal staff is to provide timely, top-tier business advisory and legal services, collaborating closely with the business to achieve their goals, all while safeguarding GM's esteemed standards of legal, ethical, and financial integrity.
This role demands precision, coordination, and collaboration to oversee a wide range of tasks. Responsibilities encompass schedule and calendar management, meeting agendas, staff communications, travel coordination, expense management, and event planning. The ideal candidate will have unwavering attention to detail, strong organizational and analytical abilities, exceptional communication skills, discretion, efficiency, and advanced proficiency in Microsoft Office suite.
What You’ll Do (Responsibilities)
Handles administrative matters of increased risk and complexity for Legal Staff, clients and external parties.
Scheduling large scale meetings
Aiding with event planning
Organizes and prioritizes flow of information to executives on key legal, industry or GM developments.
Manages projects or assignments.
Manage an active calendar of appointments, understand priority / urgency, and reorganize appropriately for multiple executives.
Expedite handling of correspondence and phone calls while keeping discretion and communicating professionally, both internally and externally
Use Microsoft Suite (Word, Excel, PowerPoint) to prepare, modify and proofread communications.
Complete various assignments as requested with minimal direction, including meeting planning, employee recognition events, and special projects.
Maintain records, confidential files.
Coordination of complex meetings and travel planning while keep multiple calendars.
Onboarding/Offboarding administrative duties
Continously seek ways to improve efficiencies of day-to-day tasks.
Support travel arrangements, Visa, Passport requirements and associated expense reports
Lead all aspects of office administration using independent thinking and judgment with sole discretion for office procedures.
Handle department purchases while using self-judgment for cost saving opportunities.

Your Skills & Abilities (Required Qualifications)
7+ years of experience as an executive assistant supporting Senior Management and Executives
Excellent organizational skills with an ability to think proactively and prioritize work.
Demonstrated ability to work independently and collaboratively on projects in a fast-paced environment and must be able to work under pressure.
Strong written and oral communication skills
Problem solving using independent thought and decisiveness.
Advanced level of proficiency in Microsoft Office (MS Suite, scheduling, internet, Outlook, and knowledge of SharePoint)
Demonstrated ability to take initiative and work independently.
What Will Give You a Competitive Edge (Preferred Qualifications)
Associate degree or bachelor’s degree is preferred.
Professional training and/or certification(s) in Administrative Skills/Support is preferred.
Experience working in a legal department or law firm.
