Who are we looking for? The Executive Assistant is an individual who is willing and able to earn the right to be an Assistant Executive. This person relishes the opportunity to build, implement, and manage multiple systems with minimal supervision. The Executive Assistant is deeply committed to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication. This person has immense focus and can do one thing for a long time without getting distracted. This individual may exhibit some drive and desire to influence; however, the overriding marker of his/her behavior is persistence and stability. An Executive Assistant is deeply committed to supporting their agents in achieving greater and greater levels of success, and to growing his/her own skills and developing into a supportive leader within the team. As the success of the team grows, this individual will be responsible for ensuring all administrative tasks of the agent’s business continue to be completed to high standards with maximum efficiency.
What will you do?
These are the standards a well-above-average performer will maintain or exceed:
- Build, implement, and manage systems for sellers, buyers, lead generation, database management, information management, and back-office support
- Open and close. the office Monday through Friday
- Keep office tidy and stocked with all supplies
- Handle all incoming office calls
- Keep database updated
- Process buyer and seller agreements
- Oversee coming soon listings and coordinate photos, sign install, staging, etc.
- Oversee contracts through closing
- Maintain an operations manual that documents systems and standards
- Be the first point of contact in handling customer inquiries or complaints
- Keep all agents updated on the progress of all contracts and advise when they need to become involved in negotiations or problem resolution
- Make sure all agent licenses are signed and hung in office
- Generate and follow up with leads
- Identify sales ready leads
- Build and maintain relationships with clients
- Build relationships with agents and staff
- Build relationships with vendors
- Practice and memorize scripts
- Attend all required meetings and trainings
- Assist with social media where needed (videos, building presence on TikTok, etc.)
- All other tasks as needed

Qualifications
- Active real estate license
- Reliable transportation
- 1–3 years of customer service experience
- 3–5 years of administrative experience

Ongoing Requirements
- Must maintain active license
- Must obtain Maryland and Virginia licenses if not already acquired
- Have GCAAR membership
- Have MLS access
- Have a ZipForms account (included with GCAAR membership)
- Have electronic signature software (Dotloop, DocuSign, etc.)
