TAYS is seeking an Executive Assistant to join the team. The Executive Assistant will provide administrative and operational support to the CEO and TAYS leadership team. This role will coordinate and manage executive scheduling, prepare and organize important strategic materials, and plan and support leadership meetings and the preparation of the materials.
This is a remote position, with up to 25% traveling to visit the office and attend in-person meetings when required. The Executive Assistant must be local to the Baltimore area.
What You’ll Get to Do
- Support the leadership team, as directed, to ensure that company goals and objectives are accomplished, and operations run efficiently.
- Manage professional and personal scheduling for the leadership team, including agendas, mail, email, phone calls, client management, and other company logistics.
- Maintain and refine internal processes that support the leadership team and coordinate internal and external resources to expedite workflows.
- Manage communication with employees by liaising with internal and external executives on various projects and tasks.
- Plan and orchestrate work to ensure the leadership team's priorities are met, organizational goals are achieved, and best practices are upheld.
- Coordinate complex scheduling and calendar management, as well as content and flow of information to senior leadership.
- Manage senior leadership’s travel logistics and activities, including accommodations, transportation, and meals.
- Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of the filing system and contacts database.
- Receive, organize, scan, distribute, and shred company mail.
- Maintains professionalism and strict confidentiality with all materials.
- Organize team communications and plan events, both internal and off-site
- Prepare meeting agendas and records and distribute minutes after each meeting.
- Order and oversee office supplies and promotion items.
- Ensure that deadlines are met and adapt to changing priorities.
- Perform other related duties as assigned.

- Excellent written and verbal communication skills
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
- Proficiency with office productivity tools and an aptitude for learning new software and systems.
- Flexible team player, willing to adapt to changes and unafraid of challenges.
- Ability to maintain confidentiality of information related to the company and its employees.
- Excellent attention to detail.
- Ability to work independently.
- Associate degree required, bachelor’s degree in related field preferred.
- Three (3) or more years of experience in an administrative role reporting directly to upper management.
Physical Requirements/Working Conditions:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
