The Women’s Council of REALTORS® (WCR) seeks an experienced Executive Assistant to support its CEO. The ideal candidate will work closely with the CEO and WCR’s elected leaders and staff to support its initiatives. This is a hybrid role, with 3 days in the office on Mondays, Wednesdays and Thursdays (days subject to change).
You are an ideal candidate if you have excellent technical, written and verbal communication skills, work independently, initiate and implement processes to manage projects, information, and people with diplomacy and tact. Must possess a comfort level with web-based or innovative productivity tools.
Essential Job Functions Include, but are not limited to:
- Manages the CEO's schedule including arranging meetings, conference calls, elected leader/member communications and appointments, while prioritizing conflicting commitments and ensuring optimal time management and follow up.
- Anticipates the CEO’s needs in advance of meetings, travel, speaking engagements and other commitments, conferences, etc.
- Works closely with the CEO, elected leaders and other team members to keep them well informed of upcoming commitments and responsibilities and follow up appropriately.
- Serves as the primary point of contact for WCR’s elected leadership.
- Draft correspondence on behalf of the CEO as needed.
- Supports the executive team with internal and external meetings, including managing logistics such as catering, set-up, equipment, and other coordination.
- Prepares minutes for CEO meetings.
- Builds and maintains positive relationships with key stakeholders, both internally and externally.
- Plans, coordinates, and manages travel, including flights, hotel accommodations, registrations, ground transportation, and itineraries for CEO, elected leaders, facilitators and 6 staff members.
- Monitors and manages CEO’s expense reports, reimbursements, and invoices ensuring compliance with company travel policies and other expense related
- Develops positive and strategic relationships at all levels of the organization with tact, diplomacy and respect. Uses discretion, judgment, and knowledge of the organization to facilitate the CEO’s activities and maintain confidentiality.
- Manages petty cash, postage stamp expenses and office supplies
- Key contact for external IT, HR and building management
TRAVEL REQUIRED: Travel and support for WCR’s offsite meetings is required; one week in May and November each year. In addition, provide support for WCR’s 3-4 day local meeting, which requires overnight stay.
TESTING REQUIRED: Interview process will include the applicant drafting a response to an email to gauge level of written communication skills and use of MS Word functionality. In addition, the ability to sort and print Excel data will also be tested as required for this position.
Candidate qualifications:
- Minimum of 4+ years related experience supporting C-Suite executives, required. Previous experience working with elected Association leaders is a plus.
- Proven ability to handle confidential information.
- Exceptional oral and written communication skills, project management and organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Expertise in MS Word, Excel, Outlook calendar and Zoom schedulers is required.
Job details:
- Compensation: Range starts at $65,000 per year. Offers are commensurate with experience.
