The Executive Assistant will provide support to the daily operations of the President & CEO ensuring seamless coordination and support in all aspects of their day-to-day operations. As an Executive Assistant to the President& CEO, will play a pivotal role in optimizing the productivity and effectiveness of our President & CEO, contributing directly to the success of our organization's mission and goals.
Core Responsibilities and Essential Job Functions:
Executive Office Management
  • Efficiently manages the CEO's schedule, including arranging meetings, conferences, and appointments, while prioritizing conflicting commitments and ensuring optimal time management.
  • Anticipates the CEO's needs in advance of meetings, travel, speaking engagements and other commitments, conferences, etc.
  • Works closely with the CEO and, Chief of Staff and other executive team members to keep them well informed of upcoming commitments and responsibilities and follow up appropriately.
  • Serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO.
  • Drafts correspondence on behalf of the CEO as needed.
  • Supports the executive team with internal and external meetings, including managing logistics such as catering, set-up, equipment, and other coordination.
  • Participates as an adjunct member of the Executive team including assisting in scheduling and preparing minutes for all meetings.
  • Builds and maintains positive relationships with key stakeholders, both internally and externally.
  • Assists with travel arrangements and appointments as needed. Plans, coordinates, and manages travel, including flights, accommodations, ground transportation, and itineraries.
  • Monitors and manages expense reports, reimbursements, and invoices for the CEO, ensuring compliance with company travel policies and other expense related procedures.
  • Attends appropriate Brightpoint events, programs and meetings when needed.

Board Management
  • Serves as Board liaison and assistant secretary to the Board of Trustees, the Foundation Board, Board Committees, and Ad hoc committees.
  • Prepares and manages all logistics for Board meetings; schedules meetings; drafts agendas; and develops, compiles, and distributes presentation materials.
  • Prepares accurate and timely minutes of all Board, Committee and Ad hoc Committee meetings, and maintains all board records and resolutions.
  • Assists CEO with preparation of special correspondence to the Board, some of which are confidential in nature.
  • Supports Board recruitment process and coordinates due diligence process, materials development, and tracking.
  • Coordinates Board orientation process including onboarding and orientation materials for New Trustee.

Standard Responsibilities:
  • Adheres to all policies and procedures as outlined in the Brightpoint Employee Handbook.
  • Participates in regular supervision and staff meetings as required by department.
  • Attends required trainings.
  • Performs other duties as assigned.

Candidate qualifications:
  • Bachelor's degree in Business Administration, Marketing, Communications, or Project Management or related field required.
  • Minimum of 5+ years related experience supporting C-Suite executives, required.
  • Strong understanding of inclusive leadership principles, relationship-based leadership models, and their application in diverse organizational settings.
  • Proven ability to handle confidential information.
  • Excellent written and verbal communication skills with the ability to adapt to communicate with diverse groups (parents, employees, state/federal officials, politicians, donors, trustees etc.)
  • Exceptional project management and organizational skills, and the ability to manage multiple priorities in a complex environment.
  • Demonstrates initiative, consistent follow-through, and the ability to work independently. Demonstrates critical thinking and problem-solving skills.
  • Demonstrates attention to detail.
  • Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Zoom, and the Google Suite of products.

Job details:
  • Compensation: Range starts at $85,000 per year. Offers are commensurate with experience.
  • Benefits: Medical/dental/vision insurance, 3+ weeks paid time off in the first year including the week between Christmas and New Year's Day (PTO increases with tenure); 11 paid holidays, supplemental insurance options, 401(k) with match (more benefits details here).
  • Location: 200 West Monroe Street (downtown Chicago loop).
  • Schedule: Full-time; Hybrid (remote/in office one totwo days per week).
  • Student Loan Forgiveness: Brightpoint is an approved agency for Public Service Loan Forgiveness (PSLF).

Screenings:
  • The applicant must submit to a criminal background check and a child abuse and neglect screening and maintain a cleared status throughout employment.

Additional Requirements:
  • Occasional travel locally and to other locations in the state, including occasional overnight travel for conferences or other meetings.
  • Ability to work non-traditional work hours as needed to attend business-related events or training.
