Position Overview:
The Executive Assistant will serve as an essential team player and driver of the CEO and management team’s success. Organized, professional, and detail-oriented, the Executive Assistant will ensure on-time and on-track execution of key initiatives across the organization. In a dynamic, fast-paced environment, the Executive Assistant will be an exceptional communicator that prioritizes schedules and tasks to meet executive goals. The ideal candidate will be able to independently solve problems, take initiative, and motivate cross-functional team members at all levels of the organization.
Key Responsibilities:
Underscored by professionalism and an acute eye for detail, the Executive Assistant will complete tasks including but not limited to:
- Manage and optimize calendars for the CEO and management team by anticipating needs, navigating conflicts, and incorporating changes.
- Prioritize and structure the CEO’s responsibilities by tracking important timelines and due dates, ensuring meeting preparation, compiling follow-ups, and looking around corners to avoid potential challenges.
- Scribe and synthesize meeting notes to actively isolate key action items; track updates and progress through to completion.
- Book all travel arrangements, including itineraries, transportation, lodging, dining, travel documents, and expense reports.
- Plan and produce key meetings and company events from top-to-bottom, including attendee management, food, premises, and budget.
- Manage vendor relationships and work with team members to assemble materials related to specific requests.
- Initiate and execute special projects and workstreams (e.g., internal and external programs, implementing tools and resources, etc.); collaborate across departments to inspire progress and ensure quality, on-time results.
- Respond promptly to CEO and management, key customers and vendors, and other important relationships to underscore core company value of turnaround time.
- Draft, format, and proofread materials for spelling, grammar, layout, and typographical errors.
- Exercise extreme discretion and tact when handling confidential and company-sensitive information.
- Occasionally attend to personal matters and appointments, enabling leadership to focus fully on the business.
- Other duties as assigned.
- 3-7+ years of experience as an Executive Assistant, Administrative Assistant, Recruiting Assistant, Office Manager, or similar function.
- Believes that “no job is too big or too small;” is dynamic, adaptable, and excited by new challenges.
- Exceptionally organized with polished project management skills to consistently achieve deadlines.
- Multi-tasker extraordinaire: able to balance multiple initiatives simultaneously and rapidly adapt to changing circumstances.
- A self-starter with a “can do” mentality: can work independently to formulate a plan with limited direction.
- Proven track record of collaborating with teams that did not directly report to you, with glowing reviews from team members.
- Actively shares one’s own perspective with executive presence and respect.
- Strong communication and writing skills with meticulous attention to detail.
- Proficient in Microsoft Office (Outlook, Excel, PowerPoint, Word); project management software experience a plus.
- Occasional travel (<5%) may be required to events, conferences, or meetings.
