Responsibilities
The Specialty Division comprises Gallagher's wholesale and affinity brokerages, as well as niche specific solutions, including alternative risk management, capital solutions, and specialty risk transfer (Artex.)
The Executive Assistant provides high-level administrative support in a one-on-one working relationship with the Global CEO, Gallagher Specialty. The Executive Assistant also serves as a liaison to members of the Specialty Division Senior Leadership team, and partners closely with Gallagher Corporate Executives and Senior Executives in other Gallagher divisions. The Executive Assistant must be creative and will enjoy working within an entrepreneurial environment.
Key Relationships
- Reports to the CEO, Specialty Division, Americas
- Strong relationships with Specialty Division Leadership, including but not limited to CEOs of Risk Placement Services, Gallagher Affinity and Artex
- Strong relationships with functional leadership, including but not limited to IT, Human Resources, Operations and Finance
Essential Duties
- Sustain a daily calendar of meetings and events.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of the CEO's daily needs and long-term objectives.
- Arrange travel and accommodations for executives. Prepare expense reports.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Draft and distribute correspondence for internal announcements, leadership meetings, and groups critical to the CEO.
- Manage the CEO's schedule and contacts. Protect the CEO's time by reading, researching, collecting and analyzing information as needed, in advance.
- Represent the company and the CEO in a positive light through great follow-through skills and sound judgment:
- Manage sensitive matters with a high level of confidentiality and discretion.
- Respond promptly to emails/texts/phone calls, occasionally outside normal business hours.
- Welcome the CEO's guests by greeting them, in person or on the phone; answering or directing inquiries.
- Complete ad hoc projects as assigned, sometimes including personal events and/or family needs.
- Organize complex calendars and schedules; resolving any scheduling issues

Qualifications
Required Qualifications
- Associate or Bachelor's degree preferred
- 5 - 10+ years of related experience required in working in an Executive Assistant role supporting C-Level executives
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Ability to communicate effectively and professionally
- Flexible hours as dictated by the needs of business for projects and global meetings
