TITLE:Executive Assistant to President & CEO

Position Overview
Special Olympics Illinois is actively recruiting for the role of Executive Assistant to President & CEO. The Executive Assistant is primarily responsible for providing support to the President & CEO to help ensure Special Olympics Illinois is achieving the Core Four objectives. This position carries out all administrative functions of the President & CEO’s office.
This position will be based preferably in Chicago, IL and possibly in Normal, IL.
Primary Duties and Responsibilities
- Upholds a strict level of confidentiality including the handling of legal documents and correspondence
- Coordinate executive communications, including taking calls, responding to emails, drafting correspondence, and interacting with constituents
- Organizes and supports all Board and Executive Committee meetings including taking minutes
- Manages and maintains correspondence for the Board of Directors and the Foundation Board
- Responsible for logistics for Board meetings, Executive Meetings, and Leadership Team Meetings throughout the year, including meeting with vendors and managing the budget for those meetings
- Schedules meetings/appointments for the President & CEO
- Manages travel for the President& CEO and as needed for Board members and sponsors
- Gathers data and prepares reports as directed by the President & CEO
- Files expense reports for President & CEO
- Processes invoices for payment that come through President & CEO’s office
- Maintains professional and technical skills necessary to carry out the responsibilities of the position
- Works collaboratively with the Leadership Team
- Provides excellent customer service as needed for constituents and staff
- Participates as needed in special projects
Preferred Qualifications
- Bachelor’s degree strongly recommended
- Excellent, adaptive computer skills including proficiency with Microsoft Office products
- Ability to work independently without close oversight, but also a team player who productively engages with others at varying levels of seniority within and outside Special Olympics Illinois
- High energy and passion for Special Olympics mission
- Meets all team deadlines and responsibilities, listens to others and values opinions, helps team to meet goals, welcomes newcomers and promotes a team atmosphere
- Strong organizational and time management skills with exceptional attention to detail
- Customer focus for internal and external constituents
- Excellent communication skills, both written and oral
Work Schedule & Requirements
- Reports to President & CEO
- Based at Chicago Regional Office or State Headquarters Office in Normal, IL
- Attendance may be required at events, both outdoor and indoor
- Periodic independent travel required, primarily in-state, including some overnight and weekend travel as an essential function of position
- Monday through Friday with evenings and weekends as the position demands
- While performing the duties of this job, the employee is regularly required to walk, talk, and hear; the employee is frequently required to stand
- Medium work: Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects
- Close visual acuity required to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines; operating motor vehicles
- First Aid/CPR Training and Certification required; must be able and willing to effectively administer First Aid/CPR on-site during events
- Valid driver’s license and proof of insurance required
- Class A Registration and clear results of a background check required
