Serving as an integral member of the IHCC team, the EXECUTIVE ASSISTANT will provide administrative support at an executive level within the company, tactical thinking, and proactivity when it comes to coming up with solutions to complex problems.

Responsibilities

 

Duties and Responsibilities:

  • Be the point of contact for general communications with the IHCC CEO.

  • Assist in answering calls and routing them TO THE right person.

  • Make travel arrangements for the executive officer. Keep track of the CEO’s itinerary.

  • Plan and schedule meetings.

  • Research and organize data to represent the senior management, which may include directors, executives, and committees.

  • Compile expense reports.

  • Performe small bookkeeping tasks for the IHCC CEO.

  • Handle memos, reports, invoices, and related documents, including sensitive information.

  • Keep confidential information.

  • Screen visitors and decide if they should be allowed to meet with the executives.

  • Go through the incoming documents (memos, invoices) and redistributing them.

  • Do office duties, such as sourcing office supplies and handling the filing system.

  • Handle and redistribute emails.

  • Provide complete administrative support.

  • Use technical tools and software such as the Microsoft Office Suite, especially text processing software and Excel spreadsheets.

 

Requirements

 

  • Must be bilingual in Spanish and English (advanced in English and intermediate Spanish).

  • Bachelor’s degree or associate’s degree in any relevant field from an accredited institution of higher learning.

  • Exceptional writing skills in Spanish and English with high attention to detail.

  • Must have a minimum of 3 years of experience as an administrative assistant or EXECUTIVE ASSISTANT or similar position.

  • Excellent ability to communicate effectively.

  • Must be able to work independently and under pressure.

  • Excellent organizational skills.

  • Self-starter who is comfortable in a close-knit, team-oriented setting.

  • Flexibility and eagerness to learn and work on different tasks as needed.

  • Strong willingness to connect and network.

  • Must be available to work some nights and weekends for IHCC events or as necessary.
