The Job At-A-Glance:
The Executive Assistant will support 3 executives including the Chief Development Officer and will perform a broad range of operational, office administration and executive support-related tasks. The Executive Assistant will partner with the Chief Development Officer and his staff and will effectively interact with staff (at all levels) in a fast-paced environment, often under pressure, while remaining flexible, proactive, resourceful, positive, and efficient. This role reports to the Chief Development Officer.
A Typical Day:
Provide high-level/confidential administrative support to Executives
Schedule and coordinate executive meetings; cross-department meetings, company meetings and training sessions both on and offsite, oftentimes drafting and/or editing executive communications, agendas, and presentation materials; ordering refreshments and recording, transcribing and distributing minutes of meetings as needed
Setup and manage travel for the executives including both domestic and international travel
Calendar management for the executives while coordinating all logistics for the meetings and efficiently resolving conflicts working with other Executive Assistants
Manage expense reports for executives, administrative staff and company committee expenditures
Collaborating with other Executive Assistants within Q2 to drive consistency and efficient operations
Collect and prepare information for use in discussions/meetings of executive staff and external individuals
Collect and prepare presentation materials for Board of Director meeting
Exercise judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions
Evaluate and modify current processes or create new processes to increase efficiencies and lower expenses
Maintain structured records management procedures for hard and soft copy filings of client contracts, legal, due diligence, and corporate documents
Ensure adherence to all security, confidentiality and privacy policies and controls
Willingness to work weekends and monitor emails in off-hours, as needed
Ability to be onsite at Q2’s Austin, TX headquarters
Other projects as assigned
Bring Your Passion, Do What You Love. Here’s What We’re Looking For:
Typically requires a Bachelor’s degree and a minimum of 5 years of related experience; or an advanced degree with 3+ years of experience; or equivalent related work experience.
Experience working with C-level executives, both internal and external to company, as well as experience with customers, prospects, vendors, visitors, etc.
Related experience supporting executive officers/leaders in fast-paced environment (software/technology companies ideal)
Ability to speak at an executive level and handle the collection and dissemination of confidential information with tact and diplomacy, often in an environment of ambiguity
Must be able to work independently and have a sense of predictive judgement
Must be exceptionally well organized with the capacity to prioritize and manage multiple projects and enjoy the administrative challenges of supporting a growing company
Excellent interpersonal and team building skills
