Title: Executive Assistant
Location: Midland, TX (Office-Based_ with Field Work_)

Position Overview: We are seeking a versatile and proactive Executive Assistant to support our executive team. This position requires a unique blend of office-based administrative duties and fieldwork. The successful candidate will play a crucial role in ensuring the smooth operation of our executive team's activities, both in the office environment and during external engagements. This individual will report directly to the president of the company.
Key Responsibilities:
Office-Based Administrative Duties
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and prepare materials for meetings, conferences, and presentations.
- Screen and prioritize incoming communications, including emails, phone calls, and mail.
- Prepare and edit documents, presentations, and reports as needed.
- Maintain organized electronic and physical filing systems.
- Assist with special projects and initiatives as assigned by executives.
- Assist with any type of miscellaneous administrative duty as deemed necessary by the executives
Email Management:
- Managing the president's inbox, organizing emails, responding to routine inquiries, and flagging urgent messages for attention
- Composing emails, letters, memos, and other forms of communication on behalf of the president. This may involve drafting responses to inquiries, scheduling meetings, confirming appointments, or conveying important information to stakeholders
- Collaborating with other departments or team members to gather information, coordinate responses, or seek clarification on behalf of the president.
- Handling sensitive information with discretion and maintaining strict confidentiality regarding the president's communications and activities
- Following up on emails as necessary to ensure that requests are addressed, deadlines are met, and commitments are fulfilled.
- Attaching relevant documents, files, or links to emails as needed and ensuring that all attachments are accurate and appropriately labeled
Field Work:
- Logistical Support: Arrange travel, accommodation, and transportation for the president and accompanying staff, ensuring seamless transitions between locations
- Schedule Management: Maintain the president's itinerary, coordinating meetings, events, and site visits while accounting for any changes or unexpected developments
- Communication Liaison: Serve as a primary point of contact for communication between the president and other team members, stakeholders, or external parties involved in field projects
- Information Gathering: Conduct research and gather relevant information on locations, stakeholders, and project details to prepare the president for meetings and engagements
- Documentation and Reporting: Document key activities, discussions, and outcomes during field visits, and prepare reports or summaries for the president's review and reference
- Problem Solving: Anticipate and address logistical or operational challenges that may arise during field projects, implementing solutions to ensure that objectives are achieved efficiently.
Communication and Relationship Management:
- Build and maintain positive relationships with internal and external contacts.
- Serve as a point of contact for inquiries directed to the executive team.
- Communicate effectively with team members to ensure alignment and coordination of activities.
Organization and Efficiency:
- Anticipate the needs of executives and proactively address them.
- Manage multiple priorities and deadlines with attention to detail.
- Continuously seek opportunities to streamline processes and improve efficiency.
Confidentiality and Discretion:
- Handle sensitive information with the utmost confidentiality and discretion.
- Exercise sound judgment in decision-making and problem-solving.
Qualifications:
- Bachelor's degree preferred, or equivalent combination of education and experience.
- Proven experience as an Executive Assistant or similar role, with a track record of supporting senior executives effectively.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to adapt to changing priorities and work independently with minimal supervision.
- Professional demeanor and ability to represent the company effectively.
- Valid driver's license and willingness to travel as needed.

Pay: $75,000.00 - $90,000.00 per year
