The role of the Accounts Payable Specialist involves providing financial, administrative, and clerical support to the Accounting Dept. Their role is to complete payments and control expenses by receiving payments, processing, verifying, and reconciling invoices.

The successful candidate for this position will possess attention to detail and strong data entry skills, as well as a thorough knowledge of MS Excel, and Word.

Primary Duties and Responsibilities:

The Accounts Payable Specialist reports to the Accounts Payable Manager. Completes payments and controls expenses by receiving, processing, verifying and reconciling invoices.

• Reconciles processed work by verifying entries and comparing system reports to balances
• Charges expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries
• Pays vendors by monitoring discount opportunities; verifying federal id numbers; scheduling and preparing checks; resolving purchase order, contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos; issuing stop-payments or purchase order amendments
• Codes such items as invoices, vouchers, expense reports, check requests, etc., with correct codes conforming to standard operating procedures to ensure proper entry into the financial system
• Process remittance information from checks, drafts, and wire transfers for invoices provided by vendors, reviewing instructions accompanying items to determine proper disposition and crediting accounts in accordance with PrimeFlight’s standard operating procedures
• Handles all vendor correspondence via phone or email
• Assists with monthly status reports and monthly closings
• Files, maintains and distribute accounting documents, records and reports
• Protects PrimeFlight’s values by keeping information confidential
• Demonstrate regular, predictable attendance at job location
• Carry out other duties as assigned

Compensation

The pay rate listed on this post is what the company reasonably expects to pay for this position. However, individual compensation may vary based on factors including qualifications, skills, competencies, education, and experience.

Education/Experience:

• Minimum Requirements (Submitted resumes that do not clearly identify the following education/work experience will not be considered):
• A minimum of 3 – 4 years of Accounts Payable or general accounting experience
• 10 key by touch; ability to multi-task; deadline driven is a must

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to communicate effectively in English.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

Computer Skills:

Proficiency is required in Microsoft Excel and Word,
