POSITION OVERVIEW:
We are a fast-growing PE owned group of companies seeking an Accounts Payable Specialist to work in our Shared Service Group located in the greater Houston, TX area (Energy Corridor District). Our Accounts Payable Specialist will be responsible for the day-to-day AP transactions including processing invoices, addressing vendor inquiries, reconciling vendor statements, and issuing payments.
JOB RESPONSIBILITIES:
- Ensure timely processing and 3-way match of vendor invoices. Obtain approvals and resolve flagged items.
- Perform monthly reconciliations of the AP subledger to the GL, and ensure aged unpaid balances are understood and dealt with.
- Reconcile GRNI, credit card and clearing accounts and resolve any findings and discrepancies in a timely manner.
- Ensure all vendor statements are reconciled monthly and any discrepancies are resolved in a quick and efficient manner.
- Maintain vendor files by adding and setting up new vendors, maintaining files of completed W-9’s and W-8’s if applicable for all vendors.
- Process annual 1099 forms ensuring all deadlines are met.
- Review expense reports to ensure adequate receipt documentation and charges are within company policy.
- Support external audits by providing necessary documentation and facilitating audit requests.
- Preparation of check runs and electronic payments.
- Assist with month-end and year-end closing.
- Other duties as assigned by the AP Supervisor.
JOB QUALIFICATIONS:
- Proven 5 years experience or more in Accounts Payable roles.
- Proficiency in accounting software (e.g., Deltek, Vantagepoint preferred) and Microsoft Excel.
- Excellent analytical skills and attention to detail.
- Ability to prioritize tasks and meet deadlines in a dynamic environment.
- Effective communication and interpersonal skills.
