Administrative Assistant (Security & Safety Zoo)
Department - Zoo
Hourly Pay Range - $19.70 - $25.26
Closing Date:12/24/2023 @ 10.59 pm upon receiving 50 applications.
This position primarily covers dayshift hours and includes working 4 weekdays
and every other weekend. The schedule also provides an alternating 3 day weekend off.
Some holiday hours, and evening hours are scheduled for special events throughout the year.
Job Summary -
The Administrative Security and Safety Assistant primary roles and responsibilities are to enhance guest customer service relationships, training of switchboard staff and physically staffing operations of switchboard as required. To work with the Security and Safety Division in maintaining schedules of staff, employee identification badges and new employee on-boarding. Will assist with maintaining financial records for payment of Sheriff and Office of Emergency Management for services rendered.
Role Responsibilities -
- Switchboard Personnel Trainer - Annually train all Operations Division leaders, members of administration and all switchboard new hires in the performance of daily switchboard duties. These duties include monitoring zoo radio communications, providing timely and accurate information to guests and employees both on the phone and in person, and training on gate and camera operations[PM1] [SA2] [SA3] [PJ4] .
- Create and Implement switchboard Training Materials - Prepare, implement, and maintain the switchboard training materials and manual while adhering to Zoo Policy, Procedure and Rules.
- Dispatching and Call Triage Operator - Monitor and respond to all radio and phone communication at the Zoo's main switchboard. Coordinate emergency radio calls quickly & accurately to appropriate agencies and zoo staff. Monitor and document interactions and emergency communication.
- Assist in Development of Procedures - Assist Security Supervisor with all administrative duties within the security department. Recommends changes in administrative methods to align with the Zoo's administrative team. Creating documentation under the direction of the Security Supervisor.
- Assist Safety Specialist - Assist the Zoo's safety specialist with operational needs. Including inventory and distribution of safety supplies, assisting in the development of safety materials, and implementation of training materials and tracking.
- Customer Service and Daily Zoo Operations - The switchboard position has high-intensity customer service contact which requires resolving guest complaints and problem solving. Substantial responsibility for receiving and/or giving information as well as documenting and tracking resolution of these matters.
- This position is responsible for the staffing and reliable daily coverage of switchboard for all weekends, night events, special events and emergencies.
Minimum Qualifications -
- Current resident of Wisconsin
- Valid WI Driver's License
- High School Diploma and above
- At least Two (2) years of experience in Switchboard with multiline phone system, Guest Relations, Administrative Assistant with a Security Background, or similar work experience.
Additional Qualifications- Preferred
- Intermediate knowledge of all related MS Office products. Specifically - Word, Excel, Outlook
- Intermediate knowledge of Payroll software (i.e., Dayforce); Purchasing software (i.e., INFOR)
- Knowledge of or prior use in a badging, camera, and Security software system
