Related Northwest is seeking an Administrative Assistant/Project Coordinator for its Related Northwest Affordable Housing Division, located in Portland, OR. The Administrative Assistant/Project Coordinator will be responsible for supporting the team (Senior Vice President, Senior Project Manager, Project Managers, Assistant Project Managers, and Development Associate) in all aspects of their projects including entitlements, due diligence, design, contracting, financing applications and transactions, construction. The position is a key support position that will provide the candidate exposure to all aspects of the affordable housing development process.
- Provide administrative support to the team, including scheduling of meetings, conference calls and vacations. Typing all manner of correspondence, memorandums, reports, transmittals, expense reports, agreements, addendums, contracts and forms.
- Perform all manner of analytical and technical tasks by drafting, examining, reviewing, revising, and analyzing consultant contracts.
- Process daily, weekly, and monthly reporting to ensure all schedules run smoothly, all jobs are completed as prescribed.
- Research and analysis: benchmark economic activity in target markets by tracking rents, sales, operating costs, competitive supply and economic expansion activity.
- Maintain good communication with vendor contacts to ensure dates, scopes, and contracts are clear and insurance requirements meet or exceed Related standards.
- Handle matters relating to time sensitive material and meet multiple deadlines. Inform project team of project status and issues that may impact timelines.
- Set up project files; maintain and track off-site storage of project files, closing binders and other marketing and administrative systems.
- Maintain database and/or central depository of all existing contracts, marketing materials, and media documentation. Oversee and maintain project files of legal and confidential nature.
- Coordinate general office functions such as subscriptions, check requests, purchase orders, mass mailings, and miscellaneous employee needs.
- Data entry assistance and website research.
- Assist with all project related activity such as project closings and planning for various functions project groundbreaking ceremonies, grand openings, etc.
- Run office errands and maintain office supplies as needed. (i.e., check faxes, supplies, mail, etc.)
- Implement corporate policies in the coordination of development of real estate projects.
- Coordinate consultant contracts and confirm all vendor information for invoicing and project is verified with accounts payable. Respond to vendor questions regarding invoices, ensuring they are processed in a timely manner. Monitor budgets for compliance and rectify invoices with consultants.
Compensation
- $60,000 - $80,000 / year
- Annual performance-based bonus
Qualifications
Minimum Bachelor's Degree; preferably in real estate, business administration, public policy or planning.
- Strong MS Office, Excel and Word skills are a prerequisite; experience with Project and Power Point a plus.
- Strong organization skills with an ability to manage multiple deadlines, tasks and assignments.
- Complex thinker with a strong intellectual curiosity.
- Experience, knowledge and understanding of real estate a plus.
- Keen attention to detail.
- High energy; possessed with drive.
- Suitability to an entrepreneurial culture that places a premium on performance.
- Must be a team player but also a self-started that can perform with limited direction.
- Excellent written and verbal communication skills.
