The Foster Lane operates out of Wisconsin. The role of Administrative Assistant will be 75% virtual. The ideal candidate will be fluent in English and additional consideration will be given to individuals who are bilingual in English and American Sign Language (ASL) or who are bilingual in English and Hmong.

DESCRIPTION
As an Administrative Assistant at The Foster Lane, you will be instrumental in maintaining our operation’s efficiency and precision. Your role will encompass a variety of tasks including document management, community outreach, and schedule coordination. This role offers the unique opportunity for individuals with ASL or Hmong language fluency to reach and support additional clients through adapting existing content and training videos for the ASL speaking or Hmong speaking audiences. We seek a detail-oriented, organized individual who can handle multiple priorities and responsibilities in a dynamic environment. This role has the opportunity for part-time hours (20-30 hours per week) or full-time hours (40 hours per week). Pay is based on experience.
Key Responsibilities:
- Document Management: Organize files, review and proofread documents for accuracy and professionalism.
- CRM and Community Outreach: Update CRM systems, engage with parents and the community to build relationships.
- Scheduling: Manage appointments and schedules, ensuring optimal time management.
- Grant Record Keeping: Maintain grant documentation, track deadlines and submissions.
- Financial Oversight: Manage receipts, document financial transactions, support with billing, and assist in compliance reporting.
- Administrative Support: Provide clerical assistance to the Founder, respond to inquiries, and record training videos in American Sign Language or Hmong.
Skills and Qualifications:
- Bachelor’s degree in Social Work, Business Administration, or related field preferred or commensurate work experience
- Fluency in English is required. Additionally, fluency in either American Sign Language (ASL) or Hmong is a plus.
- Minimum of 3 years’ experience in office administration or a similar role.
- Knowledge of bookkeeping and accounting principles.
- Skilled in QuickBooks, Excel, and Word.
- Excellent verbal and written communication skills, used for e-mail communication, client support and in training videos.
- Experience with using a CRM, such as Salesforce, is a plus.
- Ability to maintain order and bring closure to projects.
- High attention to detail with The ability to accurately proofread and edit content.
- Adept at adjusting to change and remaining focused.
- Customer service focused with The talent to confidently build relationships.
