Job description

POSITION: TRANSPORTATION SECRETARY

IMMEDIATE SUPERVISOR: Transportation Director

QUALIFICATIONS: High school diploma, typing, adding machine and

copy machine abilities; experience in general office

procedures. Knowledge of computers mandatory.

Use of two-way radios. Good communication skills.

ESSENTIAL FUNCTIONS include the following. Other duties may be assigned.

SUMMARY: Performs clerical duties in the transportation building. Schedules appointments, gives information to callers, and otherwise relieves the transportation director of clerical work and minor administrative and business details.

Record information on proper vehicle work sheets for transportation.

Answer telephone and take messages.

Type all purchase orders, specifications, letters and reports, as needed.

Do filing and keep inventory of bus parts and janitorial supplies.

Make authorization papers for all charters and see that drivers and buses are assigned.

Figure mileage and hourly rate for charters, then send on to Educational Services Center for processing,

Keep time sheets on all employees. Send time sheets to payroll office.

See that drivers are notified of any special conditions affecting pickup and delivery of students.

Monitor radio traffic for La Porte schools and Co-Op schools.

Take care of drug testing paper work.

Make sure driver’s route sheets are up to date and correct.

SUPERVISORY RESPONSIBILITIES: Responsibilities may include training employees; planning, assigning, and directing work; appraising performance; addressing complaints, and assisting in resolving problems.

EDUCATION and/or EXPERIENCE: High-school diploma required. Prior office

experience is desirable.

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups. Ability to use appropriate telephone etiquette.

MATHEMATICAL SKILLS: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

OTHER SKILLS and ABILITIES: Typing, word processing, and technology literacy.

Possess a valid state operator driver’s license/CDL.

TERMS OF EMPLOYMENT: Twelve-month year. Salary and work schedule to be determined by current salary schedule and position-appropriate work calendar.
