Job Responsibilities
Essential Function

- Responsible for supporting the Managing Director of Power Delivery by scheduling meetings, managing Grant
PUD's calendar, arranging travel, preparing statements of expense, purchasing office equipment and supplies,
developing presentations, corresponding with internal and external stakeholders on the Director's behalf, and
planning and managing special events including staff meetings and recognition lunches. - Supports staff from other Power Delivery departments by scheduling meetings, arranging travel, preparing
statements of expense, purchasing office equipment and supplies, and planning and managing special events
including meetings with external stakeholders and vendors. - Other responsibilities include coordinating weekly meetings, preparing meeting agendas, recording meeting
minutes, providing follow-up documentation to managers and supervisors, and scheduling training events. - Assists in placing orders, developing invoices, and tracking/monitoring orders placed. Create and update
various spreadsheets to document orders placed and budget spent; track actual expenses to budgets for all
departments; work with the Managing Director and department managers to maintain solid budget
foundation and plan for expense tracking. - Maintains and coordinates the SharePoint site for internal and external communications and information
sharing; fields questions, assists employees in navigating and finding information, manages permissions,
and keeps updating and improving asneeded. - Attends meetings and trainings as needed to provide professional support to any department or
manager needing assistance. - The incumbent must have excellent customer service and interpersonal skills. Other requisite skills include an
ability to: work independently, exercise sound judgement and decision-making, be proactive in resolving
issues, and handle sensitive topics in a confidential manner.The incumbent must also demonstrate a commitment to Grant PUD's mission, vision, values, and strategic
plan. The incumbent should be familiar with these organizational priorities and behave in away that aligns
with these expectations. - The incumbent must understand and adhere to compliance requirements for this position that may
include laws, regulations, security guidelines, Grant PUD policies &procedures. - Finally the incumbent must actively participate in all aspects of our safety program, including but not limited
to:
o Following all safety policies and procedures.
o Alerting supervisors and coworkers to unsafe or hazardous working conditions.
o Reporting any safety incidents or close calls within 24 hours to your supervisor.
o Accepting feedback from supervisors and coworkers regarding your own safety performance
Education and Experience
Required
- Associate degree (AA/AS) in Office Administration or secretarial studies. 2-5 years'
experience in an administrative role or customer service role.
Licenseand Certification
Required
- A valid State driver's license is required. Occasional travel to other Grant PUD locations required.
Other Knowledge, Skills, and Abilities
- Knowledge of organizational policies and procedures; department policies and procedures; file and records
management; office equipment including copier's, scanners and other; office standards, event planning, and
follow up. - Skills in operating a personal computer and general office equipment; typing and entering data with speed and
accuracy; budgeting and spreadsheet dynamics; customer service and communication; utilizing MS office
products; interpersonal skills including clear and concise communication both in writing and verbally.
