As the first point of contact for staff, clients, and visitors, you will play a vital role in creating a welcoming atmosphere and ensuring a positive experience for everyone. If you have administrative or clerical experience, excellent communication skills, and the ability to handle various tasks with efficiency, we want to hear from you!
Responsibilities:
- Take messages and forward telephone calls promptly
- Greet and assist all visitors, determining their needs and providing necessary guidance
- Answer, screen, and direct calls on a multi-line phone system courteously and professionally
- Respond to visitors, clients, and employees courteously and professionally
- Open and route incoming mail efficiently
- Prepare and send outgoing mail and packages in a timely manner
- Compose and type routine correspondence as required
- Perform general clerical duties including filing, photocopying, faxing, and mailing
- Organize and maintain the file system, ensuring proper documentation and records management
- Order and maintain supplies, arrange equipment maintenance, and keep the reception area organized
- Maintain a high level of professionalism in handling confidential and sensitive issues
- Perform other related duties as assigned by management
Minimum Qualifications / Requirements:
- Associate degree (A.A.), two to four years of related experience, or equivalent combination of education and experience
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Products
- Strong interpersonal skills to interact with individuals at all organizational levels
- Ability to understand and follow written and verbal instructions
- Strong organizational skills with the ability to manage priorities and workflow effectively
- Versatility, flexibility, and enthusiasm to work in a dynamic environment
- Ability to multitask
- Professional appearance and demeanor
- Ability to perform diversified clerical functions and basic accounting procedures
