SUMMARY:
For the Administrative Offices, provides support to managers, other employees, and office visitors by handling a variety of tasks to ensure that all interactions between the organization and others are positive and productive. Acts as a back-up for the Credentialing Specialist and Executive Assistant as needed.
DUTIES AND RESPONSIBILITIES:
- Welcomes and assists visitors to the Administration Building in a friendly and professional manner, determining their reason for visit.
- Receives and screens telephone calls, forwarding them to the appropriate persons.
- Provides polite, professional, and accurate assistance via phone, mail, and e-mail.
- Answers questions and addresses complaints, seeking assistance from appropriate persons if needed.
- Composes correspondence from verbal instructions and independently drafts replies to inquiries.
- Opens, screens, and distributes mail; receives deliveries.
- Maintains a clean and organized reception area and office supply area with all necessary inventory and materials.
- Monitors and orders inventory for office and break room supplies.
- Monitors office equipment and orders repairs or maintenance when needed, connecting with and escorting vendors.
- Assists with the parking contracts program, including cash control, parking card control, and issuing of receipts.
- Serves as a contact for the central repository for the lost and found inventory of items; receives new lost items, logs items, organizes the room and searches for items and communicates status of same to all concerned.
- Assists the Credentialing Specialist with security and access badging services to Airport tenants, contractors, vendors, and personnel. Responsibilities include badge issuance, document verification, database and records administration, security training, financial transactions and reconciliation, and fingerprinting.
- In the absence of the Executive Assistant, prepares for board meetings, and other managerial meetings, with creation of agendas, packet development and recording/distribution of minutes.
- Ensures compliance with Federal, State, and County policies and procedures, legal deadlines and other requirements for correspondence, legal advertising, certifications, and other documents.
- Performs other duties as assigned or required.
MINIMUM JOB REQUIREMENTS:
High school diploma or GED; at least 1 year of experience that is directly related to the duties and responsibilities specified; or an equivalent combination of related education and experience.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Able to provide excellent customer service.
- Extensive knowledge of ADMINISTRATIVE ASSISTANT methods, techniques, and procedures.
- Knowledge of general office procedures, practices, and equipment.
- Able to problem solve independently or seek assistance.
- Good oral and written communications skills, to include proficiency in typing.
- Strong organizational skills with the ability to multi-task.
- Proficiency in MS Office Suite programs and database programs.
WORKING CONDITIONS AND PHYSICAL EFFORT:
- Good visual acuity to work inside under artificial lighting and in bright sunlight.
- Sit for most of the day.
