Job Overview
Davies Claims Solutions (DCS) is looking for a full-time Administrative Assistant who will work out of the Nashville TN or Lakewood Ranch FL office. Some work-from home and/or hybrid opportunities may be available. This position will be responsible for various activities ranging from providing administrative support to senior leadership to administering licensing activities. Additionally, this position will maintain office supplies as well as administer building and parking access for one or more locations, including Nashville TN. In order to be successful in this position, the person must be proficient in Microsoft Excel.
Responsibilities and Duties
- Prepare required forms and follow up for licensing activities in various states; state filings; annual reports;
- File state licensing;
- Serve as Notary Public;
- Maintain penalty report and filings;
- Facilitate and track annual rollout of SIU Annual Fraud course for adjusting staff and managers;
- Maintain adjuster licensing matrix;
- Facilitate equipment procurement and work with vendors on execution and ongoing maintenance in any of these areas in coordination with SVP/COO;
- Maintain appropriate inventory supply; order supplies for all locations to include printing supplies such as business cards, letterhead and envelopes and any other special printing needs;
- Coordinate and plan meetings and various activities;
- Provide administrative support to Davies Claim Solutions senior leadership team, including assisting with managing schedules, preparation for meetings and coordinating travel;
- Prepare weekly/monthly management reports to monitor specific adjuster benchmarks;
- Liaise with Property Management on general maintenance for Nashville TN office;
- Administrate shipping vendor accounts for all locations (UPS and FedEx);
- Code incoming invoices and submit for approval;
- Maintain security access system to ensure physical security of space;
- Maintain parking access for all employees and visitors in Nashville TN;
- Other duties or projects as assigned.
Qualifications
- High School Diploma, GED or equivalent
- Associate or bachelor’s degree or equivalent business experience, a plus;
- Must be able to work regularly from the Nashville TN or Lakewood Ranch FL office location.
Experience
- 1 or more years’ related experience preferred
Knowledge, Skills, & Abilities
- Computer proficient with strong experience and abilities using Microsoft Excel, especially;
- Strong organizational skills with attention to detail and accuracy;
- Strong and professional interpersonal communication skills, both written and verbal;
- Resourceful team-player, with the ability to be effective independently;
- Proven ability to handle confidential information with discretion;
- Ability to be adaptable to various competing demands, and demonstrate a high level of customer/client service and responsiveness;
- Able to meet deadlines in a fast-paced environment.

Position Type and Expected Hours of Work
This is a full-time non-exempt position. This position must be able to work on a full-time regular basis from either the Nashville TN or Lakewood Ranch FL Davies office locations. Some hybrid work opportunities may be available. Days and hours of work are Monday through Friday from 8:00 AM to 5:00 PM, with an hour for lunch.
