Job description

About the Position
The Administrative Assistant position provides assistants to ASP's Home Repair program. They are primarily responsible for: creating and maintaining excellent informational records and systems; providing client service to Home Repair applicants; processing and filing organizational and legal documents; and other administrative duties as necessarily assigned. The Administrative Assistant is directly responsible to Director of Home Repair and works closely with all members of the Ministries Department and ASPs Hiring Team. This is a full-time hourly position located at ASP's headquarters in Johnson City, Tennessee. Irregular or weekend hours may be required on a minimal basis throughout the year as dictated by the Director of Home Repair.
Job Responsibilities
Client Service

  • Actively track and file Home Repair applications for each county that ASP serves
  • Respond to all Home Repair requests over phone and e-mail
  • Compile family surveys
  • Provide specific reports from ASP's online database of families for the office and grant funders upon request
  • Assist in client document collection and communication during the qualification process
  • Assist as a liaison for the Home Repair program and project reporting system

Administrative:
  • Answer phones and communicate requests to necessary departments
  • Assist as a liaison for the office employees with ASP's merchandise fulfillment company
  • Compile project completion reports from all summer staff and provide cumulative reports for the Home Repair program
  • Download and format information from program evaluations
  • Assist with grant compliance tasks
  • Coordinate and schedule ministries workshop needs
  • Communicate relevant updates to Ministries Department regularly
  • Create and maintain filing systems, both electronic and physical
  • Meet assigned deadlines for all tasks and projects
  • Adhere to overall departmental budget guidelines
  • Prepare for and participate in ongoing evaluation process
  • Conduct data entry for volunteer surveys
  • Assist with Home Repair hiring team with any duties as assigned
  • Assist other departments and as needed

Candidate Description
Required
  • Desire to work in a Christian environment
  • Prior administrative experience
  • Demonstrated proficiency with Microsoft Outlook Suite (word, excel, access, outlook, etc.)
  • Excellent written and oral communication skills
  • Ability to provide excellent customer and client service
  • Flexibility to work irregular hours as required
  • Highly motivated, self-starter, creative, problem-solver, dedicated
  • Ability to work on a team

Desirable
  • Proficiency with creating and compiling results from Microsoft Forms and WPForms
  • Experience in creating simple macros in VBA for MS Office
