We are seeking an Administrative Assistant and Intake Specialist to join our ranks, stepping into this combination, crucial role. You’ll need to be quick on your feet and ready to dive into the job with energy and attention to detail.
What You'll Do:
Administrative Support:
- Keep David Ledyard’s schedule running smoothly, making sure everything is organized and efficient.
- Act as a key liaison between David and the rest of the team, as well as external parties like courts, medical facilities, and insurance companies, to ensure clear and prioritized communication.
- Handle document tasks such as drafting, editing, and sending, including important documents like Letters of Representation and Personal Injury Protection forms.
Client Intake and Communication:
- Manage a large number of incoming calls with professionalism and compassion, making sure every interaction starts off on the right foot.
- Take charge of the client intake process, from arranging consultations to screening cases, to make sure clients feel supported and welcome.
- Provide prompt and accurate information, maintaining the firm’s commitment to excellent client service.
- Measures of Success:
- Respond to all client communication within a 24-hour timeframe.
- Ensure that no tasks are overlooked on a daily basis.
- Keep clients moving smoothly through all stages of the process, ensuring none get stuck along the way.
- Project Coordination:
- Assist in tracking and following up on special projects within the firm, providing regular updates to keep David informed on key developments.
What We’re Looking For:
- Experience and Education:
- At least 3 years of proven administrative and client experience, ideally within a legal setting, with a preference for backgrounds in personal injury.
- High School Diploma or equivalent; further qualifications in legal administration are a plus.
- Skills and Abilities:
- Excellent organizational skills and keen attention to detail
- Strong communication skills, both written and verbal, promoting teamwork, collaboration, and building trust and confidence in both our clients and external parties.
- Proficiency with legal-based CRMs, particularly CLIO (or similar) preferred.
