Administrative Assistant IV - Community Services This is an 8 hour/day, 12 month position under the Classified Bargaining Unit. The start date for the position is as soon as possible. DEFINITIONUnder the supervision of the Community Services Coordinator, this position performs a wide variety of office and clerical tasks, including facilitating communications between supervisor, community members and staff; manages files and other systems; collects and analyzes information; prepares oral and written reports; and performs related work as required.
DISTINGUISHING CHARACTERISTICSEmployees at this level serve as an informational liaison between the Community Services Coordinator and other district personnel, as well as the general public. Employees at this level are typically the classified employee with the highest level of responsibility for the operation of a District office consisting of other classified employees. Employees at this level must exercise a high degree of independent judgment and professionalism.
EXAMPLES OF DUTIESMaintains records relating to facility use, the District fee schedule, childcare programs, and identification badges; acts as receptionist for the department; makes recommendations to Community Services Coordinator regarding procedures and practices for office operation; receives, interprets, and prepares appropriate records of oral communication; performs related office and clerical tasks; and other duties as assigned. ASSIGNED DUTIESRecord keeping: training, filing, organizing, etc.;Schedule facility use at all district sites in scheduling software;Invoicing for facility rentals;Create purchase orders with relation to Community Services purchases;Uploads flyers to Community Bulletin Board;Maintains Certificates of Insurance for all contactors related to Community Services;Schedules field lights at multiple school sites;Operates and maintains Community Service machines and equipment;Phone intake from community members regarding facility use;Communicate with community members and youth sports groups on various facility use needsDESIRABLE QUALIFICATIONSKnowledge of:Business English, spelling, punctuation, and mathematics;Current office practices, procedures, keyboarding, and equipment;Use and navigate computer technology with high degree of proficiency;Perform word processing and other related software programs;Rules, regulations, procedures and functions of the district;Office management principles and ability to apply this knowledge to work problems. Ability to:Read, write, and follow oral and written instructions with little supervision;Work independently on difficult clerical tasks;Perform word processing with speed and accuracy;Effectively and politely communicate with the public and other employees;Establish and maintain harmonious relationships with fellow employees and the general public;Maintain confidentiality in all phases of work, i.e.
