Administrative Assistant IIIDescription/Job Summary
The Administrative Assistant III is responsible for overall office management, performing a wide range of administrative functions to facilitate daily operations. This position also provides direct support to the Vice President of Workforce Development for a variety of administrative tasks including research, ad-hoc and regular reporting, presentation preparation, high-level communications and correspondence, and various liaison duties. The position provides administrative and secretarial including special projects, office workflow, appointments, correspondence, budget tracking, data compilation and records control. The position coordinates office services such as purchasing, records control, and other administrative activities. Interprets operating policies and exercises independent judgment in resolution of administrative problems. The position also performs duties of a sensitive and confidential nature.The Administrative Assistant III provides customer-oriented quality service to the students, faculty, staff, and guests of Baltimore City Community College displaying exceptional organization, professionalism, communications, and attention to detail.
Responsibilities/Duties- Provides confidential and efficient administrative and secretarial support to the Vice President of Workforce Development, to include drafting reports and correspondence, budget tracking, answering telephone, maintaining the VP’s calendar, scheduling meetings and appointments, making travel or conference arrangements, greeting visitors, and related duties
- Provides documentation of meetings, track and provide follow-up for action items Performs, coordinates, and or/supervises special projects as requested by the VP
- Enters purchase requests, etc into Banner
- Prepares presentations and reports for the VP
- Conducts research associated with the department functions and programs; analyzes information and make recommendations to the VP Develops and implements office procedures as requested by the VP
- Tracks and orders office supplies and maintains supply storage areas
- Composes or drafts letters and memoranda as requested by the VP
- Ensures accuracy of items requiring signature or approval of the VP by reviewing them for typographical errors, formatting and internal consistency, forms control, etc
- Performs a variety of office activities to support the Workforce Development Division
- Assist in the revision of established procedures suggests changes to enhance service and assists in the implementation of improvements
- May compile, store, and retrieve management data using computer
- Maintains and continuously develops a working knowledge of student services, operations, and/or functions in order to provide accurate information and assistance to customer
- Engages in ongoing professional
- Performs other duties as assigned
- Associates degree
- Five years of Administrative Assistant experience
- Proficiency with MS Office software (including, but not limited to: Word, Excel, PowerPoint, Access, Visio)
- Outstanding customer service skills
- Excellent communication skills, both oral and written
- Experience to multi-task in a fast-paced environment
- Exceptional organizational skills
- Bachelor’s degree
- Seven years of Administrative Assistant experience
- Experience in an institution of higher learning or in a state agency
