This Administrative Assistant II position is full-time position within the Center for Public Safety Innovation’s ADAPT unit (A Division for Advancing Prevention & Treatment). Through Washington/Baltimore HIDTA, ADAPT serves as the national training and technical assistance resource for prevention programming in High Intensity Drug Trafficking Areas (HIDTAs) across the nation.
This position will provide key administrative support to the ADAPT Director, Assistant Director, and unit. Key duties fall into several categories (further described below): finance and purchasing, operations, and general administrative assistance.
ADAPT is located in Reston, VA, and the applicant will report to this location. A hybrid work schedule is available.
Key Functions/Responsibilities/Tasks
Support operations including maintaining office policies and procedures, coordinating meetings and assisting with event management, coordinating travel; new employee onboarding; and serving as a liaison with IT.
Provide general administrative support including developing and/or editing presentations and reports, updating website content, and preparing/disseminating communications such as quarterly newsletters and social media content.
Support learning activities, including coordination of training dates/locations, processing of training and continuing education data, and maintaining training records. This position also serves as the Learning Management System administrator and oversees development of eLearning courses.
Manage financial activities, including purchases and contracts, accounting, and securing requests for quotes from vendors.
Liaise with executive and senior Administrative Assistants as well as finance/purchasing office staff and Office of Sponsored Programs to facilitate various operational requests.
Required Education and Experience
Education: High School Diploma or GED
Experience: Three years working in an administrative and/or learning support role.
Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
