Job Description
TeamLMI, an organizational development firm providing hiring and recruiting services, is assisting a well-established and growing electrical contracting company in Ventura to hire an experienced Administrative Assistant to join its team in a customer service and scheduling role. This position reports to the President and is responsible for responding to existing customer needs and developing new business by promoting the company’s efficient and professional services to potential customers.
To be successful in this role, candidates should enjoy variety in their day as they collaborate with team members, help customers, and coordinate the action in a fast-paced service environment.
Responsibilities
- Answer phone calls from customers and book service appointments
- Create work orders to schedule service calls by assigning appropriate technicians based on technical skills and geographical location
- Maintain accurate records and document all customer service activities and discussions
- Document and update customer records based on interactions
- Communicate with customers daily with scheduling and dispatching timelines
- Handle customer inquiries and complaints
- Monitor service schedule and communicate with technicians for timely services
- Develop and maintain a knowledge base of the company’s offerings and services
- Maintain effective customer service procedures, policies, and standards
- Follow up with customers after service calls and collect feedback
- Prepare reports and correspondence as needed
- Perform other relevant duties as assigned by management
- Help to maintain a strong and positive company culture that values people
Qualifications
- High school diploma or equivalent is required
- 2 or more years of customer service and administrative experience in an office setting is required
- Experience working in the trades industry is preferred
- Proficiency using Microsoft Office suite (Office, Excel, Outlook) and skills and comfort using new software is required
- Experience with dispatch and customer management software systems is preferred; experience with Service Fusion software is a plus
- Excellent verbal communication and people skills for customer interactions in person and over the phone
- Strong problem-solving skills and decision-making skills
- Strong organizational, reading, writing, and basic mathematical skills
- Excellent typing, spelling, and grammatical skills with a high degree of attention to detail
- Organized team player who is considerate and able to work well with others
- Strong work ethic with high personal standards for quality of work
