Job description

SUMMARY The Continuing Education Specialist will support the Continuing Education (non-degree) programming offered by Southwest Tech and provide standard organizational and process information to Continuing Education students and prospective students. Responsibilities include creating non-degree courses in the Continuing Education system, providing admissions information to prospective Continuing Education/non-degree students; providing information on registration processes; reviewing registration forms and related documentation for alignment with College requirements; greeting and directing visitors; processing academic forms and applications; assisting students with class registration, applications, and other materials; entering and tracking student data; and maintaining records.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE • Maintains the privacy of student information and confidential records in compliance with FERPA and college standards. • Serve as Point of Contact for students concerning Continuing Education Classes. • Intake of Course Approvals from other departments and build courses and schedules in system. • Support individual and group registration. • Collect, Organize and Record Admission Paperwork related to Continuing Education Programs. • Review data for errors; addresses incomplete information and resolves inconsistencies. • Process course drop/add forms for continuing ed. • Report and file required program completion reports to necessary state agencies and/or WTCS. • Create, update, and maintain the accuracy and integrity of student records in multiple systems using standard data entry procedures. • Pull enrollment and headcount reports as requested. • Shared responsibility covering the college reception desk.

TRAINING AND EXPERIENCE • Associate degree in Administrative Assistant or related field and 2 years of related experience; or equivalent combination of education and experience. • Proficient in using e-mail, Internet, Microsoft programs and other software. • Ability to handle sensitive, confidential, and complex office situations is necessary for the effective performance of duties and responsibilities. • Exceptional ability to multi-task and to meet deadlines. • Ability to work collaboratively. • Strong communication and interpersonal skills. • Strong problem-solving skills. • Customer-focused with an ability to exercise good judgment, make decisions within the scope of authority, and discreetly handle difficult situations and confidential matters.

KNOWLEDGE & SKILLS • Ability to work in a fast-paced environment. • Ability to maintain an organized work environment, be a team player, and a selfstarter. • Ability to undertake multiple tasks, set priorities, and meet deadlines. • Excellent customer service skills. • Excellent communication and interpersonal skills • Proficiency in technology (Microsoft Office Suite)

PHYSICAL REQUIREMENTS • While performing the duties of this job, the employee is frequently required to talk, hear, walk, stand, sit, fully use two hands, see, and use repetitive movements. • May be required to use arms above head. • Specific vision abilities required by this job include close and distant vision. • The employee is occasionally required to stand, bend or stoop, and kneel or squat. • The employee must occasionally lift up to 25 pounds.

WAGE RANGE B22, Hourly Range - $19.56 - $25.37
