We are currently seeking to fill a position for an on-site Administratvie Assistant. Working under the supervision of a Project Manager, the duties included with this position will include the following:
Essential Duties
1. Performs clerical and administrative functions in a construction field office.
2. Maintains general office files, including job files, vendor files, and other files related to the company’s operations.
3. Utilizes computer for email correspondence, data input, meeting scheduling, electronic file management.
Job Duties
· Assists Project Team with document processing and tracking; such as:
- Safety training records, safety inspection reports and audits.
- New hire paperwork processing, new hire orientation coordination.
- Quality control documents, submittals, Operation and Maintenance manuals.
· Assists with purchase order entry and material tracking.
· Produces and assembles PDF (Adobe or Bluebeam) documents and packets.
· Performs document storage and filing in the project management software (Viewpoint & WMS). Training in these systems to be provided.
· Develops and implements an organized hardcopy filing system.
· Utilizes Excel, Word, Outlook, Bluebeam to create and manage internal documents.
· Maintains punctual, regular and predictable attendance.
· Works collaboratively in a team environment with a spirit of cooperation.

Education & Experience
High school diploma or GED. This position requires one to three months related experience and/or training or equivalent combination of education and experience.

Computer Skills
Has advanced basic computer job skills including logging on to systems, ability to communicate by email, ability to compose documents, enter database information, create presentations, download forms, and preserve/backup important data.
