JOB SUMMARY
The Administrative Assistant is to support and assist with groups, events, and related Care & Support administrative tasks. ESSENTIAL FUNCTIONS

- Assist and provide support to the Care & Support Director of Support Groups
- Assist and provide support for potential prayer team members
- Assist prospective leadership applicants by scheduling appointments and ensuring all appropriate paperwork is included
- Oversee initial communication with volunteers
- Maintain groups through the use of various databases (i.e., registrations and attendance)
- Assist in coordinating training with volunteers and facilitators
- Send communications to volunteers and facilitators
- Assist with maintaining coverage of facilitators for groups
- Promote the ministry through the church and community
- Assist in the coordination and attend ministry events as needed.
- Receive and respond to phone calls requesting basic information about the ministry
- Handle responses to emails for multiple accounts
- Assist with audio-visual, set-up, welcome, and check-in procedures for recovery group meetings
- Communicate with facilitators to gather attendance, ensure group coverage, and assist with group needs
- Assist in general administrative duties for the church, including ordering food supplies, reserving rooms, or running basic reports as needed
- Attend staff meetings and staff development opportunities
- Assist in the coordination of prayer events and schedule initial and concurring prayer interviews
COMPETENCIES
- Strong administration and operational knowledge with an excellent command of the English language
- Strong organizational skills, with the ability to multitask and set priorities
- Proficient with Google suites products or ability to learn quickly
- Proficiency in administrative procedures, and operation of standard office equipment (e.g., computers, phone systems, copier)
- High level of poise, tact, maturity, diplomacy, and interpersonal skills to handle sensitive and confidential information and situations'
- Outstanding analytical ability, including gathering, summarizing, and analyzing data for reports, solving various administrative problems, and prioritizing work
- Attention to detail in following instructions, following up on tasks, composing, typing, and proofing materials, etc.
- Proactively takes initiative to ensure projects run efficiently and can meet concurrent deadlines
- Ability to quickly learn new processes and procedures and adapt to rapid operational changes
- Teamwork mentality, willingness to adjust to the needs of the team
- Strong technology aptitude with demonstrated ability to run common audio/visual conference room equipment and to efficiently troubleshoot equipment problems during presentations (e.g., digital projector, soundboard, laser pointer, Roku, etc.)

POSITION TYPE/EXPECTED HOURS OF WORK
This is a full-time position (32 hours). Scheduled hours are, Mon. - Thurs. with occasional evenings and weekends as job duties demand. Flexible with occasional schedule changes.
PHYSICAL REQUIREMENTS
While performing the duties of this job, the employee may be regularly required to do the following:
Must have good or corrected vision as well as effective peripheral vision, depth perception, and ability to adjust focus
Must have good manual dexterity and be able to use repetitive motion of the hands, wrists, and arms
Must be able to remain in a stationary position for extended periods of time
Must be able to move about inside the office and file rooms to perform a variety of tasks
Must be able to frequently and effectively communicate in both written and verbal form
Must be able to frequently lift 10-25 pounds and/or push/pull objects up to 50 pounds
Occasional reaching, stooping, kneeling, bending, and crouching
Ability to work collaboratively and communicate effectively with team members at all levels of the organization
EDUCATION AND EXPERIENCE
High school diploma
2-5 years of experience in administrative/clerical roles (preferred)
WORK ENVIRONMENT
Duties are performed in an office setting where the work and general environment may be hectic at times. Therefore, it is essential that the employee can effectively handle the normal anxieties associated with the job and manage multiple projects in a service-oriented environment. Environmental noise levels are minimal.
