This position assures the integrity of the Human Resources Department by maintaining employee personnel records and assisting the HR department with employee processing and maintenance. Responsible for preparing and processing new hires and processing hiring-related paperwork using human resources management system software. This position also provides complete administrative services for the HR department.
1. Serves as Human Resources Administrative Assistant to the AVANCE Houston office using proper telephone etiquette as required by the organization’s customer service standards.
2. Answers and screens telephone calls and relays messages to the appropriate staff.
3. Ensures the sign-in/sign-out procedures are followed by visitors and employees. Handles queries or requests from visitors, customers, and the public.
4. Maintains the front office area recognizing that it is the first point of contact and the first impression of the organization.
5. Monitors camera system for Dacoma I and II and reports to supervisor concerns and/or questions pertaining to safety.
6. Attends Safety Committee Meetings to ensure that he or she is knowledgeable about laws and regulations that may have an impact on customer service and how to manage emergency situations.
7. Handles employee business card requests by processing and distributing accordingly.
8. Processes HR invoices and forwards to supervisor for approval.
9. Orders office supplies for HR department. Inventories and distributes supplies to appropriate team member.
10. Provides general clerical and administrative support for the HR department to include preparing letters and documents, filing, making copies, creating flyers, follow up calls, and other duties as needed and directed by supervisors.
11. Maintains Conference Room Calendar including receiving and screening events, reserving and editing reservation requests as needed.
12. Logs and disperses incoming and outgoing mail and forwards to other departmental employees for distribution within their respective departments.
13. Distributes incoming and outgoing faxes to the appropriate staff and/or department.
14. Ensures adequate coverage for the front desk to include breaks, special events, etc. Promptly notifies supervisor of lapse of coverage or standard.
15. Ensures coffee supplies are properly stocked in the employee breakroom.
16. Ability to maintain regular and punctual attendance in compliance with AVANCE Houston policies and/or procedures, local, state, and federal laws.
17. Performs other duties as assigned
Education
Required: High School Diploma or GED from a state accredited or federally recognized education program.
Preferred: Associate’s Degree or equivalent college credit hours from a state accredited or federally recognized education program in Human Resources, Business Administration, or related field.
Experience
Required: Minimum of two years of administrative experience
Preferred: Three to five years of experience in an administrative role
Other Requirements
Must be able to work a flexible schedule including evenings and some weekends
Bilingual English/Spanish (verbal/written) preferred
