Duties / Responsibilities:
- Provide any combination of various clerical and administrative duties requiring overall knowledge of FPS systems and procedures.
- Receives sorts, distributes mail, separates documents, number forms and photocopies documents using photocopier.
- Prepares outgoing mail for delivery, to include overnight-express services and use of online.express mail services.
- Perform general clerical duties in setting up meetings and teleconferences.
- Coordinates and distributes interoffice communications.
- Assist in the inventory, maintenance, purchase, and dissemination of routine supplies.
- Collects and disseminates Government Owned Vehicle mileage and maintenance information on a monthly basis or as required.
- Acts as liaison between FPS field personnel and DHS help desk services in support of lT, telephone and other services.
- Maintains, issues and controls facility keys through issuance, hand receipt and inventory.
- Timekeeping duties for their areas as it pertains to assisting, inputting, reviewing, and maintaining all areas in payroll.
- Makes travel arrangements or work with travel agencies to coordinate transportation andaccommodations and/or off-site meeting facilities. Responsible for completing critical incident travel arrangements for personnel.
- Supports regional emergencies, taskings or projects as directed.
Minimum Requirements:
- U.S. Citizen.
- Education requirement.
- Ability to communicate effectively, both orally and in writing.
- Resourcefulness and ability to function in a fast-paced environment.
- Professionalism and the ability to interact effectively with others.
- Ability to meet planned and unscheduled deadlines in a timely manner.
- Individual shall be neat, clean, and well groomed, with well-fitting but not tight or revealing clothing. All contract employees shall dress at a minimum of Business Casual in accordance with DHS dress standards.
- Work environment is indoors in a government office setting and outdoors for on-site visits, traveling, using conventional office equipment and associated supplies provided by the Government (desk, filing cabinets, telephone, facsimile, PC computer system, intercom system, photocopier, paper, pens, pencils, staples etc.). Additionally, Government provided vehicle will be supplied as needed for site visits. Note: depending on the availability and need, equipment and supplies may vary in type, kind, and quantity.
- Physical requirements are mobile, involving traveling, site visits, lifting, bending, working while seated.
- Able to disclose COVID-19 vaccination status and abide by contract/department’s COVID-19 guidance when accessing any facility.
Preferred Requirements:
- Previous experience in federal government budget, acquisition, purchase card programs, federal government pay and travel regulations and systems.
- Previous Executive Assistant experience supporting C-Suite.
- Previous government contracting experience.
