POSITION SUMMARY
This position performs key support and administrative duties for the Executive Vice President and CFO (EVP & CFO) and other executives. This role requires the ability to exercise sound and independent judgement with respect to matters of significance. This role requires a strong business acumen and professionalism. This role supports the Executive Vice President/ Chief Financial Officer, the Executive Team, Residential Management, as well as the Billing and Auditing functions of the organization.
ESSENTIAL RESPONSIBILITIES
- Completes a broad variety of administrative tasks including: Managing deadlines on behalf of the EVP & CFO as well as other executives, managing an active calendar of appointments, completing expense reports, coordinating the activities of the finance office, composing and preparing confidential correspondence, agendas, and other administrative tasks as assigned.
- Develops presentations, diagrams, or other materials as assigned by the EVP & CFO and/or the executive team.
- Works with Residential Program Administration on OPWDD and OMH monthly billing. This includes collecting, collating, obtaining respective signatures, confirming amounts, ensuring correct names and types of services.
- Collaborates with Human Resources Team on pre-screening of applicants for all programs with a focus on residential staffing and hard to hire open positions.
- Collaborates with Medicaid Billing Specialist on questions and research of submitted billing.
- Performs billing audits as scheduled and requested.
- Collaborates with Facilities Maintenance as well as Accounts Payable on large project bidding.
- Assist in the preparation and implementation of the strategic plan.
- Acts as a back up to the Executive Assistant & Foundation Manager.
- Other duties as assigned.
Qualifications
REQUIRED QUALIFICATIONS
Education:
- Associates Degree
Experience:
Three years’ experience as an Executive Assistant or four years of office management experience.
Two years financial office experience.
Licenses / Certifications:
- N/A
PREFERRED QUALIFICATIONS
- Five years’ experience as an Executive Assistant preferred.
- Managerial/Supervisory experience highly preferred.
REQUIRED SKILLS
- Must have a strong working knowledge of Microsoft Office Suite
- Must be able to manage multiple priorities
- Professionalism and ability to handle confidential information with integrity
