HMT is seeking an Administrative Assistant to work in our San Antonio office. As part of the HMT family, you would be responsible for various administrative tasks to support those working in the Engineering and Accounting Department including, but not limited to Department Coordinators, Project Managers, Bookkeeper, and Owners. We are looking for someone who will fit our company mission of “Building Relationships and Futures that Glorify God” and meets our Core Values of Relationships, Ownership, Adventure and High Expectations.
DUTIES AND RESPONSIBILITES
- Manage small satellite office
- Organize and facilitate company events, celebrations, etc.
- Ensure clients, vendors, employees are handled in a professional and courteous manner
- Open, sort and distribute incoming correspondence, including faxes and e-mails
- Order and maintain office supplies
- Create, modify, and produce detailed documents such as letters, proposals, reports, spreadsheets, and memorandums
- Assist with the editing and review of various documents
- Assist the Engineering Coordinator and Project Managers with documentation necessary for the timely delivery of projects
- File, retrieve and scan corporate documents, records, and reports
- Process and distribute confidential and sensitive information/documents
- Coordinate calendars, schedules, meetings, and trainings
- Prepare meeting agendas and coordinate catering for luncheons or internal meetings
- Assist the Bookkeeper with various administrative tasks
- Provide receptionist support
QUALIFICATIONS
- Proficient with Microsoft Word and Excel
- Effective communication skills with all level of employees within an organization, both oral and written skills along with outside organizations
- Self-starter & has the ability to work interdependently within a team environment
- Must be able to meet deadlines and respond professionally to changing work assignments and priorities
- Must be dependable and reliable
- Must be flexible to changes in work assignments on short notice and/or on a daily basis as changes occur in project needs
Job Type: Full-time
Pay: $17.00 - $22.00 per hour
Expected hours: 40 per week
