DEPARTMENT: Front Office
REPORTS TO: President of Sound Image
FLSA CLASSIFICATION: Non-Exempt
ESSENTIAL FUNCTIONS:
The Administrative Assistant is responsible for analyzing and approving expenses for Sound Image, greeting and directing visitors to the company; as well as providing administrative support to various other departments.

- Pleasant demeanor when greeting visitors to the company
- Superior customer service attitude
- Strong communication skills with the ability to relate to various groups of internal and external customers
- The ability to exercise judgment and discretion in all matters and to seek supervisor input when necessary
- The ability to maintain confidentiality
- High level attention to detail and accuracy
- Proficient in MS Word and Excel
- Working knowledge of basic office equipment: PC, multi-line telephone, copier, scanner, fax
EDUCATION AND/OR EXPERIENCE:
- High School Diploma
- 3 years' administrative experience in a fast-paced office setting
RESPONSIBILITIES AND DUTIES:
- Take and relay messages as necessary
- Greet guests and answer questions from the general public
- Ensure knowledge of staff movements in and out of the organization
- Receive, sort and deliver mail daily (incoming & outgoing)
- Maintain visitor access sign in/out log
- Organize conference and meeting room bookings
- Assist with AP duties as assigned
- Order and maintain office supplies
- Prepare correspondence and documents as required
- Additional duties as may be assigned
