Job Summary
Atlas Lens Co. is currently looking for an Administrative Assistant to perform clerical and administrative tasks. The Administrative Assistant will be expected to provide support to our managers and employees, assist in daily office needs and manage the Company's general administrative activities. A successful candidate must be personable with a great attitude and possess excellent organizational skills. Key Responsibilities
- Welcome visitors to the office.
- Assist in maintaining a well-organized and presentable front office area.
- Maintain general order of the company kitchen area.
- Order and organize office supplies and refreshments to keep everything well-stocked.
- Open up and close the front Demo space daily.
- Organize conference rooms to be ready for daily meetings.
- Correspond to phone calls and emails.
- Handle scheduling for senior management, send meeting invites to attendees, and remind attendees of upcoming events.
- Attend meetings as required, take meeting minutes and distribute to the appropriate parties.
- Perform data clean-up on Excel.
- Prepare and organize PowerPoint presentations and materials as needed; research materials and sources for presentations.
- Conduct online research and report results.
- Present excellent customer service and communication skills.
- Assist with booking travel and accommodations for employees.
- Run occasional errands, when necessary.
- Any other duties that may be assigned from time-to-time.
Job Qualifications/Requirements
- Minimum 2 years of experience handling administrative or assistant responsibilities, or experience in customer service or related field preferred.
- High school diploma or equivalent; Associate or Bachelor’s degree preferred.
- Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel)
- Experience with Google Docs, cloud services and other technology tools.
- Ability to manage time effectively and efficiently.
- Self-directed and able to work without supervision.
- Excellent verbal and written communication skills.
- Ability to maintain a high level of confidentiality in daily operations.
- Some interest in cinematography, photography, optics and the motion picture industry is a plus.
