Job Summary
The Accounts Payable Specialist will be responsible for handling all aspects of the Accounts Payable process for our company. This includes processing invoices, verifying financial data for use in maintaining Accounts Payable records, and providing other clerical support necessary to pay the obligations of the organization. This position requires a high level of precision and proficiency in managing financial documents, understanding of accounting principles, and the ability to work under tight deadlines.
Responsibilities
- Invoice Processing: Review, verify, and process invoices and requisitions for goods and services.
- Payment Management: Prepare and perform check runs, electronic transfers, and payments.
- Vendor Communication: Maintain vendor files and communicate with vendors regarding billing discrepancies, payment timelines, and documentation requirements.
- Reconciliation: Reconcile Accounts Payable transactions, monitor accounts to ensure payments are up to date, and resolve invoice discrepancies.
- Financial Reporting: Assist with month-end closing processes, including preparing the monthly Accounts Payable reconciliations.
- Policy Compliance: Ensure compliance with internal controls, policies, and procedures in processing payment transactions.
- Data Management: Maintain accurate and organized financial records, both in paper form and electronically.
- Audit Support: Provide support during internal and external audits by retrieving financial data and documents as requested.
Skills
Proficiency in accounting software and systems (e.g., QuickBooks, SAP), and proficiency in excel, strong attention to detail, excellent communication skills, and the ability to manage multiple tasks simultaneously.
